In this role, you will serve as an important link between our OEM customers and internal teams, ensuring orders are processed accurately, customer needs are addressed promptly, and information is communicated clearly throughout the order lifecycle. Your responsibilities will include processing customer orders and order changes in accordance with established policies and procedures while ensuring that orders align with contract pricing, commitments, and applicable requirements. You will respond to customer requests for order status, product information, and other inquiries in a timely and accurate manner. You will generate sales quotations and order acknowledgements following receipt of formal purchase orders and create and maintain reports for OEM customers, including forecasts, revenue-to-goal reporting, and other relevant business metrics. You will work closely with the production team to coordinate schedule priorities and address customer concerns, as well as export and merge ERP data from customer and internal systems into Excel-based reports. You will prepare and deliver order status reports to OEM customers ahead of customer meetings, maintain OEM-specific price lists, and ensure customer orders comply with Bluefors' export compliance requirements. You will also collaborate cross-functionally with other departments to resolve customer needs and support the overall customer experience, along with performing other duties as assigned. We are looking for someone with a strong customer and client focus who can build productive relationships while effectively managing multiple priorities. You should have excellent time-management, organizational, interpersonal, and relationship-management skills, with the ability to work effectively both independently and as part of a team. Strong written and verbal communication skills are essential, along with the ability to read and interpret documents such as safety rules, operating and maintenance instructions, procedures, and training materials. Computer literacy, including basic data entry and data-processing capabilities and proficiency with Microsoft Office and Outlook, is required. You should also demonstrate strong attention to detail, dependability, adaptability, and a willingness to continuously learn and develop new skills. A high school diploma or GED with at least three years of related experience and/or training, an associate degree or equivalent with at least two years of related experience, or an equivalent combination of education and experience is required. This role involves working in both office and manufacturing environments and requires the ability to safely perform the physical duties associated with the position while following all required safety procedures and PPE requirements. We also appreciate candidates who bring strong Microsoft Excel skills and previous experience working with ERP and CRM systems, as these capabilities will help you efficiently manage customer information, reporting, order data, and business processes. Bilingual abilities are a plus, particularly in a role supporting diverse customers and working across functions. Main responsibilities:
Process OEM customer orders and order changes in accordance with established policies, procedures, contract pricing, and customer commitments. Provide timely and accurate responses to customer requests regarding order status, products, and related information. Generate sales quotations and order acknowledgements following receipt of formal purchase orders. Create and maintain OEM customer reports, including forecasts, revenue-to-goal reporting, and other business metrics. Coordinate with the production team regarding schedule priorities and customer concerns. Export, merge, and analyze ERP data from customer and internal systems to create Excel reports. Prepare and deliver order status reports to OEM customers prior to customer meetings. Maintain OEM-specific price lists and ensure pricing information remains accurate. Ensure customer orders comply with Bluefors' export compliance requirements. Work cross-functionally with internal departments to resolve customer needs and support successful order execution. Perform other duties as assigned. What we expect from you A high school diploma or GED with a minimum of three years of related experience and/or training; an associate degree or equivalent from a two-year college or technical school with a minimum of two years of related experience; or an equivalent combination of education and experience. Strong customer-service and client-management skills, with a professional and courteous approach to both internal and external customers. Excellent written and verbal communication skills and the ability to communicate effectively with a variety of stakeholders. Strong time-management, organizational, interpersonal, and relationship-management skills. The ability to work effectively both independently and in a team-oriented environment. The ability to read and interpret safety rules, operating and maintenance instructions, procedure manuals, training materials, and other business documents. Computer literacy, including basic data entry and data-processing skills and proficiency with Microsoft Office and Outlook. Strong attention to detail and the ability to maintain accuracy while managing multiple priorities. Dependability, adaptability, and a commitment to continuous learning. A strong commitment to workplace safety and the ability to follow required safety procedures and PPE requirements. Ability to work in both professional office and manufacturing environments and safely perform the physical requirements of the position. Ability to maintain confidentiality when handling customer and company information. We also appreciate Strong experience with Microsoft Excel, including working with, organizing, merging, and reporting on business data. Previous experience using ERP systems and CRM software. Experience in OEM customer service, order management, sales support, manufacturing, or a related business environment. Bilingual abilities. Physical demands While performing the duties of this job, the employee is frequently required to sit, stand, walk, reach with arms and hands, and use hand and finger dexterity. Work environment This job operates in and out of a professional office environment and may involve work in both office and manufacturing settings. The position interacts with internal and external customers in a professional and courteous manner while maintaining confidentiality as needed. The role routinely uses standard office equipment such as computers, phones, filing cabinets, and copiers. When working in the manufacturing environment, the employee may be frequently exposed to moving mechanical parts and occasionally exposed to humid conditions, fumes or airborne particles, heat, cold, electrical-shock risks, and vibration. The noise level is usually moderately loud. Mandatory PPE must be worn as required.
