The Order Management Clerk is responsible for coordinating, processing, tracking, and following up on patient orders and Plans of Care. The position works closely with clinical and Quality Improvement staff to ensure orders that have completed clinical review are distributed to physicians, monitored for timely return, and appropriately processed upon receipt.
Job Responsibilities:
Receive clinically reviewed physician orders and Plans of Care for processing and distribution. Send orders to the appropriate physician office by fax, mail, or hand delivery, and resend documents when necessary. Run and review the Open Orders Report each business day to identify outstanding orders and those requiring follow-up. Follow up with physician offices on orders that remain open for more than seven days, including confirming receipt and obtaining updated contact information when needed. Document all follow-up activity in Netsmart Homecare, including the date of contact, status of the order, actions taken, and next steps. Process returned signed orders in the electronic medical record and route incomplete, questionable, or clinically related issues to the appropriate Quality Improvement or clinical staff member. Maintain accurate tracking of outstanding orders from distribution through receipt of the signed document. Escalate unresolved orders, physician-related issues, or delays that require clinical or management intervention. Work collaboratively with Quality Improvement nurses and clinical staff to support timely processing and return of Plans of Care and supplemental orders. Maintain the administrative order management process while referring all questions related to clinical completeness, appropriateness, or content to qualified clinical staff. Perform other duties as assigned. Skills and Competencies Strong organizational and time-management skills. Excellent attention to detail. Ability to manage multiple outstanding documents and priorities simultaneously. Strong follow-up and problem-solving skills. Professional telephone and written communication skills. Ability to communicate effectively with physician offices and internal staff. Ability to accurately enter and maintain information within an electronic medical record. Ability to work independently while recognizing when an issue requires escalation. Ability to maintain confidentiality of patient and clinical information. Ability to work effectively with clinical, Quality Improvement, and administrative staff. Qualifications High school diploma or equivalent required. Previous experience in healthcare administration, medical records, physician order processing, home care, or a related healthcare setting preferred. Experience working with electronic medical record systems preferred. Homecare EMR experience preferred. Previous experience communicating with physician offices is preferred.
Working Conditions:
This position typically operates in an office environment. Prolonged periods of sitting and computer work. Ability to communicate effectively by phone, email, and virtual platforms.
