Job Title:
Order Processing Specialist Job Summary:
We're looking for an organized, detail-oriented Order Processing Specialist to help ensure our products reach researchers around the world. You'll play an essential role in moving orders from quote to shipment—supporting accurate billing, documentation, and communication across the business.
People Manager:
No What You'll Do You'll work closely with Sales, Finance, Production, Support, customers, funding agencies, and couriers to keep orders moving smoothly Create and maintain customer quotes, orders, invoices, shipment records, and supporting documents in Sage, SharePoint, and other systems Review orders for accurate customer, billing, payment, product, warranty, and shipping information Coordinate domestic and international shipments, including courier and customs documentation Process invoices, split shipments, credits, warranty adjustments, and customer account documentation Resolve order, payment, shipping, and documentation issues with internal teams, customers, and external partners Support repair-order intake and closure, including RMAs, returned products, records, and notifications Maintain accurate, audit-ready records for sales tax, shipping, warranty, and contract-reporting requirements Respond to customer and internal questions about order status, shipment timing, payments, and required documentation Help improve procedures, training materials, and order-processing workflows Occasionally work evenings or weekends to meet deadlines What You'll Bring Associate degree, technical training, related experience, or an equivalent combination At least six months of experience in order processing, customer service, operations, shipping, accounting support, or a similar role Excellent attention to detail, organization, and follow-through Confidence working with order, invoice, shipping, and customer records Proficiency with Microsoft Office, especially Outlook and Excel Familiarity with accounting, ERP, order-management, or CRM systems Clear, professional written and verbal communication Practical problem-solving skills and comfort managing changing priorities Nice to have: Experience with Sage or a similar ERP/accounting system International shipping, customs, or courier-documentation experience Familiarity with invoicing, credits, sales tax, warranties, RMAs, or lithium-battery shipping
Pay & Benefits Base Salary Range:
 For this role, new hires generally start between $45,000.00 - $55,000.00 per year ($21.63-$26.44 per hour). This range is applicable for the labor market where the role is intended to be hired. The final base salary is directly related to the candidate's qualifications and professional experience uniquely.
