Salary/Exempt Job Purpose The National Purchasing Supervisor is responsible for supporting and coordinating purchasing activities across the organization, including vendor management, sourcing, pricing, purchasing agreements, and procurement processes. This position will work closely with Accounting, Operations, Distribution Center Management, and other internal teams to ensure competitive pricing, reliable vendor relationships, and efficient purchasing practices. Essential Duties and Responsibilities Maintain accurate and up-to-date vendor files, including credit applications, insurance documents, W9s, and other required documentation. Obtain and maintain vendor agreements, including vendor letters, master vendor agreements, W9s, COIs, and other required documentation. Support national sourcing initiatives by identifying, researching, and evaluating potential vendors and suppliers. Work closely with Accounting, General Management, and Operations leadership when onboarding or evaluating new vendors. Obtain competitive pricing by soliciting and comparing quotes from multiple vendors. Monitor vendor pricing, service levels, availability, and overall performance. Maintain detailed vendor records and purchasing data, including sales representatives, contact information, pricing, and key account details. Assist with purchasing strategy and cost-saving initiatives across multiple locations and business units. Build and maintain strong relationships with vendors while addressing pricing, service, quality, and delivery concerns. Partner with Distribution Center Management and internal stakeholders to identify purchasing needs and resolve vendor-related issues. Ensure purchasing documentation and processes remain accurate, organized, and compliant with company requirements. Provide purchasing reports and updates to management as needed. Help establish and maintain consistent purchasing procedures across the organization. Promote a collaborative, service-oriented approach with vendors and internal teams. Qualifications Strong organizational and time-management skills. Previous purchasing, procurement, sourcing, or vendor management experience. Experience working with multiple vendors and negotiating pricing preferred. Strong analytical and problem-solving skills. Excellent communication and customer service skills. Strong sense of teamwork and ability to collaborate across departments. Ability to manage multiple priorities and adhere to strict deadlines. Ability to effectively communicate in English, both verbally and in writing. Ability to interact professionally with vendors and all levels of management. Education and/or Experience Some college preferred. 5+ years of purchasing, procurement, supply chain, distribution, or related experience preferred. Experience managing vendor relationships and negotiating pricing strongly preferred. Experience in food distribution, wholesale, or a multi-location distribution environment is a plus. Computer Skills Strong Microsoft Excel skills, including spreadsheets, data tracking, and reporting. Experience with SAP, MRP, ERP, or similar purchasing/inventory management systems. Strong overall computer literacy. Reasoning Ability Ability to analyze pricing, vendor information, and purchasing data. Ability to identify cost-saving opportunities and make sound purchasing recommendations. Must be able to interact effectively with all levels of management and demonstrate strong written and verbal communication skills. Ability to manage multiple priorities and lead purchasing initiatives across a diverse organization. Physical Demands Lifting up to 10 lbs. Sitting at a computer for extended periods. Work Environment Ability to work in a Distribution Center environment with varying temperatures. Occasional interaction with warehouse, operations, and distribution personnel.
