As a Senior Office Associate, you will serve as a trusted business partner to department leadership, helping drive the day-to-day operations of AECI's Procurement, Land, Investment Recovery, and Physical Inventory Control team. Working in a professional office environment, you'll collaborate with leaders and employees across multiple divisions while managing a diverse portfolio of responsibilities that includes contracts, land leases, permitting, vendor compliance, records management, and executive-level administrative support. What You'll Do Serve as a strategic administrative partner to the Managing Director and department leadership by anticipating priorities, coordinating initiatives, and helping keep critical business activities on track. Manage and maintain a wide variety of department documentation, including contracts, land lease agreements, permits, RUS documentation, document retention, and compliance records. Coordinate across Accounting & Finance, Information Services, Power Production, Member Services, Operations, suppliers, contractors, and external partners to ensure projects, communications, and business processes move forward efficiently. Oversee third-party contractor tracking, insurance compliance, vendor onboarding, OSHA documentation, and supplier records. Lead department logistics for executive meetings, leadership retreats, business meetings, and special events while managing multiple competing priorities. Identify opportunities to improve processes, recommend solutions, and independently manage projects from start to finish while providing exceptional internal customer service. What You'll Need High school diploma or equivalent. Five or more years of administrative or business support experience, including at least two years supporting senior leadership or executive-level management. Demonstrated success working in a professional office environment where priorities shift frequently and responsibilities span multiple functional areas. Experience coordinating contracts, document retention, leasing, permitting, vendor management, compliance activities, or similar business operations. Excellent organizational skills with the ability to independently manage numerous projects, deadlines, and confidential information simultaneously. Strong communication and relationship-building skills with the ability to work effectively across diverse departments and with internal and external stakeholders. Proficiency with Microsoft Office and the ability to quickly learn procurement, records management, and business systems. Preferred Experience supporting procurement, land administration, legal documentation, or contract administration. Experience managing RUS documentation, records retention, or regulatory documentation.
