Market-competitive, available upon request Every patient sample Machaon tests starts somewhere: a physician treating a patient for a life-threatening condition, a sponsor program, a patient who needs an answer. The Testing Program Coordinator sits right at that critical intersection, connecting patients to vital testing for free, getting shipping kits in the hands of our clients and patients, and ensuring patients and providers get advocacy and clear answers about cost (often zero!) and coverage along the way.   • Real impact: your work directly opens doors for patients to get access to specialized testing that is often not available anywhere else and timely results to their physician within one week or less.
  • Variety, not monotony: your day moves between sponsor relationships, logistics, operations, and finance; no two days look the same.
  • A seat close to the action: you'll work directly with Finance, but also Lab Operations, Client Services and Business Development, with visibility across the whole testing pipeline.
  • Build as you grow: you'll help refine how kit requests, fulfillment and sponsored testing programs are implemented and expanded. A Day in the Life
  • Champion sponsored testing programs: connect with patients and providers, manage program enrollment, coordinate sample referral, testing status, claim status, monitor invoicing, and serve as the go-to contact for the whole process.
  • Guide patients through the financial side of testing: determine eligibility and benefits, explain costs and payment options, coordinate patient referral and sample collection, and collect payments upfront with clarity and care.
  • Kits to those in need: log and fulfill shipping kit requests for outpatients and clients, track inventory across locations, and hit tight turnaround windows using USPS and FedEx.
  • Stay ahead of deadlines: respond to automated fulfillment reminders and keep the kit pipeline running smoothly with no missed shipments.
  • Support the Finance team: client coordination and collections, payment processing, and help keep accounts reconciled and accurate. What You Bring
  • A background in healthcare receivables, account management, or clinical administration (2+ years); a bachelor's degree is preferred but not required if experience overrides.
  • Comfort navigating patient, employee and client interactions, various billing workflows, claims and remittance, and collection processes.
  • Excel and Google Workspace skills adept enough to keep notes, logs and general work accurate and current.
  • An organized, detail-first mindset; juggling sponsor programs, kit shipments, and finance related tasks without dropping the ball.
  • A warm, clear communication style; comfort while on the phone with a worried patient as you are emailing a physician or pharma sponsor.
  • Bonus points: experience in a lab, pharma, or diagnostics setting, familiarity with sponsored testing or patient assistance programs, and bilingual skills in Spanish, Cantonese, or another language.
