Position Summary The Food Bank & Community Partnerships Coordinator plays a vital role in supporting Open Heart Kitchen's mission by coordinating food donations, food recovery, partner agency services, volunteer engagement, inventory management, and daily warehouse operations. This position serves as the primary liaison between food donors, food recovery partners, partner agencies, volunteers, and community organizations to ensure food is distributed efficiently and equitably throughout the Tri-Valley. This position is responsible for cultivating relationships that strengthen the Food Bank's impact, increasing food donations, supporting community outreach, ensuring compliance with food banking standards, and assisting with the day-to-day operations of the warehouse. Essential Duties & Responsibilities Program Operations, Food Recovery & Partner Agency Coordination (45%) The Program Coordinator is responsible for coordinating the daily operations of Open Heart Food Bank's food recovery, inventory management, and partner agency distribution programs. Coordinate Open Heart Kitchen's Food Recovery Program. Serve as the primary liaison with Alameda County Community Food Bank regarding food recovery activities. Develop and maintain relationships with food recovery partners and donors. Coordinate donation appointments, food recovery pickups, and logistics. Receive, process, sort, weigh, label, and properly store donated food. Enter donated food into inventory systems accurately and in a timely manner. Maintain accurate inventory records and support inventory control. Serve as the primary contact for partner agencies. Process weekly agency orders and coordinate order fulfillment. Monitor partner agency compliance and conduct site visits as needed/required. Troubleshoot inventory shortages and ordering issues. Drive organization vehicles to transport food donations and deliveries as needed. Ensure compliance with food safety, warehouse safety, and regulatory requirements. Administration, Continuous Improvement & Warehouse Support (35%) The Program Coordinator supports the efficient operation of Open Heart Food Bank through accurate administration, reporting, warehouse operations, and process improvement. Maintain accurate records. Prepare reports and maintain required documentation. Respond to phone calls, emails, and general program inquiries. Maintain organized electronic and paper records. Assist with warehouse receiving, inventory organization, loading, and order preparation as needed. Ensure warehouse cleanliness and equipment. Support continuous improvement initiatives that strengthen efficiency and service delivery. Attend required Alameda County Community Food Bank Network Meetings and Redistribution Organization meetings. Stay informed of policy changes and ensure program compliance. Perform other duties as assigned. Community Partnerships, Donor & Volunteer Engagement (20%) The Program Coordinator serves as a primary ambassador for Open Heart Food Bank by building relationships with donors, volunteers, partner agencies, businesses, and community organizations. Serve as the primary contact for food donors and donation inquiries. Build and maintain relationships with food donors, partner agencies, businesses, schools, faith communities, and civic organizations. Promote food donation drives and community giving initiatives. Identify opportunities to increase food donations and expand food recovery partnerships. Coordinate volunteer activities within the warehouse. Welcome, orient, train, and supervise volunteers as needed. Foster a positive volunteer experience and encourage ongoing engagement. Represent Open Heart Kitchen at community outreach events. Support fundraising events and community engagement activities. Assist with presentations promoting food security and Open Heart Kitchen's mission. Stay informed of policy changes and ensure program compliance. Perform other duties as assigned. QualificationsEducation & Experience Bachelor's degree in relevant field or equivalent combination of education and experience At least one (2) years of relevant work experience Forklift certification, or the ability to obtain certification within 90 days of employment. Knowledge, Skills & Abilities Excellent organizational and time-management skills with the ability to manage multiple priorities in a fast-paced environment. Strong written, verbal, and interpersonal communication skills. Outstanding customer service and relationship-building abilities, with the ability to work effectively with staff, volunteers, donors, partner agencies, vendors, and community members from diverse backgrounds. Strong problem-solving, critical-thinking, and decision-making skills. Ability to organize projects, prioritize work, meet deadlines, and follow through on assignments. Strong attention to detail and commitment to accurate recordkeeping and documentation. Ability to work independently while contributing to a collaborative team environment. Ability to train, lead, and coordinate volunteers and individuals from a variety of backgrounds. Creative thinker who demonstrates professionalism, sound judgment, confidentiality, diplomacy, and ethical conduct at all times. Computer Skills Proficiency with Microsoft Office, including Excel, and Google Workspace (Gmail, Google Drive, Google Docs, and Google Sheets). Licenses & Certifications Valid California driver's license with an acceptable driving record. Ability to safely operate organization vehicles and warehouse equipment. Proof of a negative tuberculosis (TB) test upon hire and re-testing every four (4) years, as required. Physical Requirements Ability to regularly stand, walk, bend, stoop, reach, push, pull, and lift throughout the workday. Ability to lift, carry, push, and pull up to 50 pounds. Ability to work in warehouse, refrigerated, freezer, and outdoor environments. Ability to work occasional evenings and weekends for special events, food recovery activities, or organizational needs.Application Submission:
