The Program Support Specialist provides administrative and programmatic support to ensure the efficient delivery of services to clients. This role serves as a key point of contact for client communication, documentation, data tracking, and coordination among program staff, case coordinator/managers, drivers, and external partners. The position supports intake, audits, special events, and daily operations while maintaining compliance with funding and regulatory requirements. This is a bilingual role requiring strong organizational, communication, and customer service skills.
SCHEDULE
Monday through Friday, 8:00am - 5:00pm, (with a 1-hour unpaid break)
ESSENTIAL DUTIES AND RESPONSIBILITIES
: Responsibilities include the following, and other duties may be assigned: Respond to client inquiries via phone, email, and in person; assist with call answering, transfers, and referrals to appropriate departments or external providers Maintain accurate client records by documenting notes, updates, and changes; communicate updates to case managers, ILS, drivers, and program staff Serve as a liaison between clients and delivery drivers to support successful Home Delivered Meals (HDM) deliveries Manage and update inactive client lists and assist with client account changes, terminations, and related correspondence Assist with drafting and processing termination letters and addressing client complaints in a timely and professional manner Support intake, enrollment, and eligibility verification processes Assist with data collection, reporting, and preparation for annual, quarterly, and program audits Provide clerical support including filing, copying, preparing mailings, and organizing program documentation Assist with completing and collecting client surveys Support high-volume call periods related to special events and holidays, including special holiday deliveries like Matzah Mitzvah and Milk & Honey Relay accurate and timely information between program staff and participants Ensure all documentation complies with funding agency and regulatory requirements Provide coverage at congregate sites, as required Assist the Administrative Officer with processing payments, completing check requests, and tracking expenses in the Expense Tracker Assist the JCS Delivers Program with intakes, placing orders, and responding to client inquires, as required
Supervisory Responsibilities:
This position has no supervisory responsibilities.
MINIMUM QUALIFICATIONS
High School Diploma or equivalent, required Associate degree, preferred Data entry skills, required Microsoft Office Suite, required Ability to travel locally as required for program operations, required. Bi-lingual English/Spanish, required
