The Psychiatric Rehabilitation Assistant provides administrative, clerical, program, and operational support to help the Psychiatric Rehabilitation Program run smoothly and effectively. This position works closely with the Program Director, Psychiatric Rehabilitation Specialists/workers (PRS), and other team members to support day-to-day program operations, maintain accurate records, assist with classes and activities, communicate with participants and community partners, and help create a welcoming and organized environment. The Psychiatric Rehabilitation Assistant may also provide limited participant support and transportation assistance, as assigned and appropriate to the needs of the program. Supervision Received The Psychiatric Rehabilitation Assistant works under the direct supervision of the Program Director and/or Psychiatric Rehabilitation Specialist, with the ability to work independently within assigned areas of responsibility and in accordance with agency policies and procedures. Supervision Exercised None. Classification Full-time or part-time, non-exempt position. Minimum Qualifications
- High school diploma or equivalent required.
- Additional education, training, or experience in human services, behavioral health, customer service, or office administration is preferred. (6 months required)

- Coordinate daily dispatch, phone calls, open the center.
- Coordinate referral calls and partner with participants and referral sources throughout the intake process.
- Contact and coordinate guest speakers for Thursday programming and other scheduled activities.
- Maintain the Mystery Observer Book, Continued Stay Reports, and Advisory Board meeting minutes.
- Assist staff with filing, documentation, and outreach notes.
- Track paperwork and follow up with individuals who need to complete or sign required documents.
- Provide coverage for dispatch and/or receptionist duties when needed.
- Assist with creating and distributing program announcements, class schedules, newsletters, booklets, and other program materials.
- Prepare welcome packets and orientation packets.
- Assist staff with preparing materials and supplies for classes, groups, meetings, and program activities.
- Provide general administrative support to program staff as needed. Data Entry & Records Management
- Enter, update, and maintain participant information in electronic health records (EHRs), case management systems, and other agency databases.
- Maintain accurate and current face sheets and participant records.
- Update and maintain iPads and related program technology, including keeping equipment clean, organized, and in working condition.
- Assist with gathering and compiling information for reports, audits, billing, quality assurance, and other program needs.
- Maintain organized paper and electronic files in accordance with agency policies and confidentiality requirements. Operations & Office Maintenance
- Order, receive, organize, and maintain office supplies, forms, and program materials.
- Monitor office and program supply needs and notify appropriate staff when supplies need to be reordered.
- Help ensure the front office, classrooms, and common areas are clean, organized, safe, and welcoming.
- Report maintenance, safety, technology, or facility concerns to the appropriate staff.
- Assist with general office organization and day-to-day operational needs. Team & Program Support
- Provide clerical assistance to program staff, including printing, copying, scanning, filing, preparing documents, and organizing materials.
- Assist staff in preparing for and supporting classes, meetings, orientations, and other program activities.
- Support the team with participant transportation needs when assigned and appropriate.
- Assist with program activities and special projects as directed by the Program Director or Psychiatric Rehabilitation Specialist.
- Work collaboratively with staff to support an effective, welcoming, and recovery-oriented program environment. Participant & Program Support
- Interact with participants in a respectful, professional, and person-centered manner.
- Help participants navigate administrative processes and connect with appropriate staff or program resources.
- Assist staff with engaging participants in program activities and maintaining a welcoming environment.
- Support participant needs within the scope of the position and under the direction of appropriate program staff.
- Maintain appropriate professional boundaries and protect participant confidentiality. Compliance & Documentation
- Maintain accurate and timely documentation related to assigned responsibilities.
- Assist staff with preparing records and documents for audits, licensing reviews, accreditation, and other compliance activities.
- Follow agency policies and procedures related to confidentiality, documentation, safety, and records management.
- Assist with maintaining program records in accordance with applicable regulatory and funding requirements.
- Notify appropriate supervisors of documentation, compliance, safety, or operational concerns. Other Duties
- Perform other related duties as assigned by the Program Director or designated supervisor.
- Assist with special projects or program needs when necessary to support the overall operation of the agency.
