About Summer on the Cuyahoga Summer on the Cuyahoga (SOTC) is a nonprofit organization that connects college students with paid internships, free summer housing, professional development, alumni connections, and an immersive introduction to Northeast Ohio. Through partnerships with colleges, employers, alumni, and community organizations, SOTC helps emerging talent build meaningful careers and lasting connections to the Cleveland region. Position Summary The Assistant Director of Administration, Finance & Program Operations is a key member of SOTC's small staff and is responsible for the reliable administration, financial coordination, marketing communications, and day-to-day operational support of the organization and its residential summer program. The position requires excellent organization, sound judgment, accuracy, responsiveness, strong communication skills, and the ability to move comfortably between detailed administrative work, outward-facing communications, and hands-on program execution. This is a year-round, part-time position averaging 25-30 hours per week. Hours may increase to as many as 40 per week during the peak program season, generally May through August, and will include scheduled evening and weekend activities. Outside of required meetings and program responsibilities, the position offers scheduling flexibility and is performed primarily from a home office. The Assistant Director reports to the Executive Director, jointly supervises up to four summer staff interns, and works closely with program participants, employers, partner-school representatives, alumni volunteers, board members, vendors, accountants, university personnel, and community partners. Primary Responsibilities Administration & Organizational Operations Maintain accurate participant, employer, alumni, and program records, including databases, tracking spreadsheets, forms, and supporting documentation. Maintain annual administrative and program calendars, recurring deadlines, written procedures, and organized electronic files. Prepare participant, employer, program, and organizational updates for the Executive Director, board, and partner schools. Prepare and distribute participant welcome materials, program information, forms, invitations, and routine stakeholder communications. Collect and maintain participant information, arrival and departure details, parking requests, intern fees, emergency contacts, and other required program documentation while protecting confidential information. Maintain the SOTC Alumni Jobs Bank and coordinate routine website or CRM content updates using HubSpot or similar systems. Prepare financial and program dashboards, reports, meeting materials, and other information for the Executive Director and Board of Directors. Attend board meetings; record and follow up on administrative action items when assigned. Finance & Recordkeeping Maintain timely and accurate financial records in QuickBooks Online in coordination with the Executive Director, Board Treasurer, and external accountant. Prepare invoices for partner schools, employers, extended housing, and other program-related charges; record and track payments received and follow up on outstanding balances. Process approved accounts payable and maintain invoices, receipts, vendor documentation, and appropriate supporting records. Reconcile bank, credit-card, and other financial activity and promptly identify discrepancies for review. Assist the Executive Director and Board Treasurer with preparation and monitoring of the annual organizational budget and summer program budget. Prepare routine financial reports and track actual revenue and expenses against approved budgets. Coordinate with the Executive Director and external accountant to provide information required for year-end close, the annual Form 990, and other financial or compliance reporting. Handle banking, donor, employee, and participant information with discretion and follow SOTC's approval, access, and internal-control procedures. Summer Program Operations Assist the Executive Director in developing and maintaining the calendar for approximately 40-50 events and activities during SOTC's nine-week summer experience. Coordinate event logistics with venues, speakers, employers, vendors, university offices, volunteers, and community partners, including reservations, catering, equipment, transportation, tickets, set-up, and clean-up. Prepare and distribute regular event briefings, schedules, reminders, and updates for interns, employers, volunteers, and program staff. Collect intern arrival and departure information; coordinate transportation, roommate matching, parking, move-in, move-out, and other residential-program logistics. Prepare emergency contact resources and operational guides for program staff and support timely escalation of student, housing, safety, or program concerns to the Executive Director. Serve as a responsive resource to interns and on-site staff throughout the program while following established communication and incident-response procedures. Attend and provide on-site leadership for assigned program events, including priority evening and weekend activities, move-in, and move-out. Jointly supervise up to four summer staff interns with the Executive Director, including work planning, assignment of administrative and event responsibilities, coaching, coordination, and regular communication regarding progress and concerns. Administer, compile, and summarize post-program surveys and other outcome data for partner schools, employers, funders, the board, and organizational reporting. Marketing & Communications Lead SOTC's year-round marketing and communications activities across email, website, social media, print, digital, and other appropriate channels. Develop and implement communications campaigns that recruit student applicants, employers, donors, alumni, volunteers, and community partners and strengthen awareness of SOTC and its impact. Write, edit, design, schedule, and distribute newsletters, email campaigns, program announcements, recruitment messages, donor communications, event promotions, and other stakeholder communications. Manage SOTC's social media channels and content calendar, including developing and publishing timely, engaging content throughout the year and during the summer program. Maintain and regularly update SOTC's website, ensuring information is accurate, current, accessible, and aligned with organizational priorities and branding. Annually review and update brochures, flyers, information sheets, presentations, digital assets, and recruitment materials for students, campuses, employers, donors, and community partners. Maintain consistent messaging, voice, visual identity, and recognition of sponsors and partners across organizational communications and materials. Collect and develop participant testimonials, alumni outcomes, success stories, photographs, videos, and program statistics for marketing, recruitment, development, and organizational reporting. Monitor basic communications and campaign performance and use available data and stakeholder feedback to improve future outreach. Coordinate communications with the Executive Director and obtain approval for sensitive, high-profile, or policy-related public messages. Development Support Maintain the grant, sponsorship, donor, and reporting calendar and help gather financial, program, and outcome information needed for proposals and reports. Assist with grant reports, sponsorship materials, donor acknowledgments, annual appeals, impact updates, and other development-related communications. Maintain accurate records of grants, sponsorships, donations, acknowledgments, partner logos, and supporter recognition commitments. Support selected employer, alumni, donor, and community outreach projects in coordination with the Executive Director. Decision-Making & Accountability The Assistant Director is expected to independently manage assigned workflows, deadlines, records, and routine communications. Financial disbursements, contracts, grant submissions, sponsor commitments, public statements, significant program changes, and responses to serious student or safety concerns require review or approval by the Executive Director or another designated organizational officer in accordance with SOTC policy. Qualifications Bachelor's degree preferred; equivalent relevant education and experience will be considered. At least three years of progressively responsible experience in nonprofit administration, finance or bookkeeping, program operations, marketing communications, higher education, event coordination, or a related field preferred. Demonstrated ability to manage detailed, deadline-driven work independently in a small, primarily remote organization. Experience with QuickBooks Online or comparable accounting software strongly preferred, including invoicing, accounts payable, reconciliation, and financial reporting. Strong proficiency with spreadsheets, databases, shared-file systems, and Microsoft 365 or Google Workspace; HubSpot or similar CRM experience is a plus. Demonstrated experience creating effective email, website, social media, print, and digital communications for varied audiences; basic graphic-design or content-creation experience is preferred. Excellent written and verbal communication skills, sound judgment, discretion, and a high degree of accuracy. Ability to build productive working relationships with college students, employers, school partners, volunteers, board members, vendors, and community organizations. Experience supporting residential programs, internships, college students, nonprofit events, or youth/young-adult programs is preferred. Schedule, Location & Requirements Year-round schedule averaging 25-30 hours per week, with the potential to increase to as many as 40 hours per week throughout May through August based on program needs. Primarily remote work from a reliable home-office environment, with regular virtual and in-person meetings and significant on-site responsibilities during the summer program. Availability for scheduled evening and weekend work during the summer, with advance notice whenever practicable. Residence within reasonable commuting distance of Cleveland-area program locations and reliable transportation to meetings, events, and university housing sites. Valid driver's license and ability to travel locally as required. Ability to perform routine event-support activities, including extended periods of standing or walking and moving program materials weighing up to approximately 25 pounds, with or without reasonable accommodation. Compensation The hourly compensation range is $23-$26, depending on qualifications and experience. This part-time position does not include employer-sponsored benefits. The employee receives a $120 monthly reimbursement toward phone, internet, and information-technology expenses. Approved business mileage is reimbursed when the total round trip exceeds 50 miles, in accordance with SOTC policy. SOTC provides a flexible schedule outside of required meetings, deadlines, and program activities.
