Headquartered in Indiana, Cryomate is expanding its operations in Nashville, Tennessee, and is seeking a Donor Eligibility Coordinator to join our Nashville team. We seek a Donor Eligibility Coordinator to join our team and play a crucial role in ensuring all donor candidates meet regulatory and medical standards. This position is ideal for professionals with a background in healthcare, phlebotomy, nursing, or medical assistance who are passionate about reproductive medicine and donor care. Key Responsibilities Conduct FDA-mandated blood and urine screenings for donors. Perform physical evaluations of donors in compliance with FDA requirements. Sign off on test result reports, ensuring accuracy and proper documentation in donor files and Cryomate's software system. Report results to the Medical Director and assist in addressing any issues or discrepancies. Coordinate with the testing laboratory regarding test results and inquiries. Order medical diagnostic and clinical tests as needed. Act as an initial point of contact for potential donors via phone, email, and in-person interactions. Conduct virtual or in-person donor interviews, including medical and social history assessments. Maintain the donor calendar, ensuring proper scheduling of visits, screenings, and physical examinations. Check in donors, verify identification, properly label specimen cups, and ensure accurate completion of paperwork. Inform donors of upcoming appointments. Oversee donor payroll and assist with distributing donor payments. Prepare donor profiles for website publication, ensuring completeness and accuracy.
This includes:
Collecting and verifying social, behavioral, and motivational information. Completing all required donor details before publication, including personal background, education, and interests. Organizing and uploading donor media, such as audio interviews, baby and adult photos, and social profiles. Ensuring donor profiles meet Cryomate's quality and compliance standards before they go live. Maintain a clean and professional environment, including cleaning donor rooms after each production visit. Provide a supportive and professional environment for donors throughout the screening process. Be open to training, learning new skills, and assisting in training other team members as needed. Ensure adherence to FDA, HIPAA, and other state and federal regulations related to donor screening and eligibility. Stay updated on FDA regulation changes and adapt screening procedures accordingly. Accurately enter and maintain donor records in the Cryomate electronic documentation system. Assist with data migration from existing spreadsheets to Cryomate's EMR system. Assist with scanning, document organization, and compliance recordkeeping. Assist in creating and updating departmental procedures as needed. Collaborate with the Medical Director, Laboratory Supervisor, Senior Coordinator, and other senior staff members as needed to ensure compliance with donor eligibility protocols. Oversee department supplies, including office materials, donor refreshments, and medical forms. Provide support for social media engagement to attract and retain donors.
Qualifications & Experience Required:
Licensed or certified medical professional: RN, LPN, CMA, CNA, Phlebotomist, or Medical Assistant. Experience in blood collection, urine sample collection, and performing physical exams. Excellent attention to detail and ability to manage multiple responsibilities accurately. Proficiency in using electronic medical records (EMR) systems and Microsoft Office Suite. Strong communication and interpersonal skills Ability to maintain confidentiality and uphold ethical standards.
Preferred:
Experience in reproductive medicine. Strong understanding of HIPAA regulations. Familiarity with FDA screening procedures and laboratory compliance protocols. Experience using CRM systems or donor management platforms.
Schedule & Work Environment Part-time:
30 hours per week. Flexible hours, with potential weekend or extended hours when required. In-person position based in Nashillve, TN.
