Full Job Description Essential Functions:
The Project Coordinator is a field position and supports the Project Manager at a construction site with administrative and document control duties. Also functions as a QC Assistant for the QC Manager.
Responsibilities:
Maintain job calendar and meetings; Process expense reports; Submittal coordination and processing; Assist with Safety; Create reports and presentations; Manages calls and correspondence; Set up electronic file structure for processing submittals using Electronic Database Systems; Photocopy, digitize, and file all project documents; Contact suppliers and subcontractors to request submittals or additional information; Attend weekly meetings and generate meeting minutes; Coordinate a submittal process that meets priority deadlines; Copy, scan, and distribute plans and specifications to suppliers or vendors; Follow-up with subcontractors and suppliers to obtain quotes; Research and contact specialty subcontractors/suppliers as needed; Support engineering dept. staff in assigned project based work; Provide meeting support as needed (e.g., scheduling conference rooms, coordinating food, logistics) Assist in the development and monitoring of project budgets. Collect and code project cost documents and continually monitor and update the budget to reflect changes in work; Monitor of project schedules and review work schedules for improving work methods; Prepare subcontractor and supplier agreements to be executed and prepare correspondence to document changes in work or cost; Other duties and responsibilities as requeste
Skills & Qualifications:
High School diploma required, college degree preferred; Minimum of 2 years' experience in document control; 5 or more years' experience in office administration; Proficiency in Microsoft Office suite (such as Outlook, Word, Excel, PowerPoint, etc.) as well as the use of the internet; Knowledge of Procore highly preferred; Working knowledge of purchasing, subcontracting, submittals and construction preferred; Must have good communications and mathematical skills; Must have excellent customer service and interpersonal skills; Strong attention to detail; Ability to work independently and as part of a team.
Working Conditions:
100% of the time is spent in the office environment, utilizing computers (frequent use of MS Office tools (Word, Excel, PowerPoint, Access) telephones, and general office equipment.
