A Project Coordinator coordinates project team work on projects with a defined scope, start and completion point, and assists the project manager. Coordinates project team activities and communication. Organizes meetings and tracks project budgets and schedules. Organizes contracts, files and reports. May coordinate projects in construction, information technology or in other industries.
Project Coordinators are an integral part of the Construction team. The main role consists of supporting Project Managers and field leaders for all administrative needs and assigned projects. Document control is of paramount importance, and attention to detail is key for success in this role.
ESSENTIAL DUTIES AND RESPONSIBILITIES PROJECT FILE CREATION
o Copy Project Estimating folder to New Construction Job Folder o Populate project charter in Project Sight with contact information. o Gather & distribute project documents to Superintendents/Preconstruction Team o Creating a Spec Binder to have readily available on site o Populate change order rates in Master change order form for project using the established rates within the project contract. o Confirm Change Order markups are consistent with project Contract.
PROJECT SITE
o Create Project Job on Project Sight and maintain document control throughout the course of the project. o Upload project drawings and specification reiterations as the project progresses (if applicable) o Upload schedules, budgets, field budget tracking forms & distribute to project team. o Create RFI's on Project Site from information provided by the field leaders. o Upload Submittals to Project Sight when assigned. o Collaborate with Preconstruction to ensure milestones are tracking and ensure consistency with project schedule in collaboration with Project Manager o Verify project diaries are being populated daily and posted to Project Site o Ensure most current iterations of plans are uploaded to Project Site and distributed to foreman at the project kickoff and throughout the course of the project (when applicable)
SUBMITTALS
o Establish Project specific submittal requirements & populate Submittal Log o Distribute Submittal Checklist to Preconstruction Team or Superintendents for input. o Verify completed checklist is consistent with job specification manual & plans and establish if any substitutions are being used. o Utilize company library to populate submittals per submittal checklists. o Request submittals from subcontractors and vendors as applicable. o Procure & create submittals for Preconstruction/Superintendent & PM review. o Once acceptable compile & transmit project submittals to Client for approval. o Set a reminder to track and follow up with GC/Client to ensure timely receipt submittal review comments per contract documents. o Receive, review, process, upload and distribute to project team noting any "Revise & Resubmit" or "Make Corrections Noted" comments. o Distribute reviewed submittals to all vendors & subcontractors as applicable.
RFI'S:
o Notify project manager of potential Request for information immediately. o Populate and create RFI's as needed for review by Project Team o Once RFI's are created and on BIM site, confirm acceptable to PM. o Submit RFI's for Client/Designer review. o Track all RFI's to minimize project delays/impacts that may arise. o Review RFI's and determine if there are any scope changes, alert PM. o Process RFI responses as received and ensure all project team members are fully informed of this information. o Save other projects RFI's authored by others if they impact our scope, alert
PM. CHANGE ORDERS
o Maintain all necessary documents in Change Order Folders as applicable. o Maintain & verify wage rates in Master Change Order Form o Assist with Change Order Procurement as requested by PM. o Follow up with outstanding change order status (confirm w/PM before requesting) o Maintain Change Order log with PM's oversight. o Other duties as assigned.
BUDGETS:
o In collaboration and or with direction from the Project Manager, update cost projections in Viewpoint job cost module o Each Thursday, download budget labor report from Viewpoint and send via email to the project team for review. o Populate Field Budget Tracking and update on a biweekly basis. o All budget documentation must be shared and openly communicated for project success. o Other duties as assigned.
CLOSEOUTS
o Request, populate and maintain O&M data from Vendors/Subs at 50% completion of project (or per specs) o Review specification & project manuals to verify all necessary documentation has been accumulated to satisfy closeout requirements. o If additional stock is required, bring to attention of the Project Team o Request and collect as built/record drawings from Field Supervisor (assist as needed) o Populate standard warranty forms. o Create digital file of closeout & binder (as applicable) o Support & administer final documentation of field generated startup & commissioning templates. o Transmit final closeout package to Client. o If any comments are received, review & distribute as needed to complete closeout process. o Other duties as assigned. EH&S o Assist with distribution of safety and security documentation as needed. o Coordinating Safety Certifications/Background Check/Health Screening with Safety Manager
COMMUNICATION
o Collaborate with internal work groups as needed to complete tasks and special projects. o Communicate with external clients via email and telephone regularly for assigned projects and general needs of the team. o Communicate with external vendors to secure pricing, quotes, submittals, O&M manuals and general project needs.
KEY PERFORMANCE INDICATORS 1.
Ensure Intech Mechanical is responsive to general contractor's requests as directed. 2. Ensure all incoming information from general contractors, subcontractors and vendors is properly stored and communicated to the team expeditiously. 3. Ensure Procore is up to date and organized to established standard. 4. Ability to work with other employees, supervisors and external parties. 5. Provide the highest quality of administrative support while meeting set deadlines.
