We specialize in residential solar, roofing, HVAC, windows, and battery storage , and we are looking for someone who can help manage projects from the time a contract is signed through scheduling and completion. This position is ideal for someone who is organized, comfortable communicating with homeowners and contractors, and able to keep multiple projects moving at the same time. Key Responsibilities Contract Processing Review newly signed customer contracts for completeness and accuracy Enter customer and project information into company systems Verify required documents, signatures, financing information, and project details Communicate with the sales team when information or documentation is missing Create and maintain accurate customer project files Customer Welcome Calls Contact customers after their contract is signed Introduce the customer to our operations process and explain what to expect next Confirm project details and contact information Set expectations regarding scheduling, site visits, installation, and communication Provide professional and friendly customer service throughout the project Subcontractor & Project Coordination Coordinate subcontractors for roofing, HVAC, and window projects Send project scopes, customer information, and job details to subcontractors Schedule site visits, measurements, installations, inspections, and other project milestones Confirm subcontractor availability and installation dates Follow up on outstanding work and ensure projects continue moving forward Track project status and communicate updates to customers and the internal team Obtain completion documentation, photos, invoices, and other required paperwork from subcontractors Help resolve scheduling or project issues as they arise General Operations Support Maintain project notes and update customer records Communicate with sales representatives, customers, installers, subcontractors, and management Monitor upcoming installations and outstanding project requirements Help ensure projects are completed accurately and on schedule Assist the operations team with additional administrative tasks as needed What We're Looking For Strong organizational and follow-up skills Excellent written and verbal communication Comfortable speaking with customers over the phone Ability to manage multiple projects and deadlines simultaneously Strong attention to detail Professional and dependable Comfortable working with subcontractors and holding people accountable for schedules and deliverables Able to work independently and take ownership of assigned projects Comfortable using computers, email, Google Workspace, CRM/project management systems, and spreadsheets Construction, home improvement, solar, HVAC, roofing, or window experience is a plus but not required The Right Person for This Role We are looking for someone who doesn't wait to be told every next step. You should be comfortable following up with a contractor when something hasn't been completed, calling a homeowner with an update, catching missing information on a contract, and keeping a project moving from one stage to the next. This position requires someone who is organized, proactive, accountable, and customer-service focused.
