Full Job Description Project Coordinator Reports To:
Facilities Operation Manager Salary Type/Rate:
Hourly/$28-$34 Position Summary The Project Coordinator provides critical operational support to the facilities division, including Commercial Maintenance, Tenant Improvements, Special Projects, and Compliance. This position serves as the primary operator of Preventative Maintenance (PM) scheduling and tracking within BuildOps and acts as a central point of communication among Project Managers, technicians, subcontractors, vendors, and clients. Essential Duties and Responsibilities Supporting Project Managers through daily project operations. Assisting in the setup, scheduling, and tracking of Preventative Maintenance (PM) agreements in BuildOps. Coordinating PM service calendars, technician assignments, and vendor participation. Communicating upcoming PM services to clients and managing access requirements. Dispatching technicians for maintenance, PM, and project work. Maintaining subcontractor, vendor, and client relationships. Organizing data and input for BuildOps scheduling, job setup, and internal project management tasks. Collecting service reports, PM checklists, and compliance documentation. Supporting procurement activities including pricing requests, purchase orders, and delivery coordination. Receiving calls and emails for service requests, job updates, and scheduling needs. Supporting inspection coordination and compliance-driven visits. Tracking outstanding deficiencies, corrective actions, and follow-up repairs.
Document Control:
Operations Preparation, organization, and maintenance of PM agreements, scopes, service records, and compliance logs. Ensuring PM checklists, asset logs, and service reports are completed, uploaded, and archived properly. Maintaining accurate digital project and PM folders within internal systems. Organizing and logging all project communications, updates, and field documentation. Collecting and tracking job-specific documentation for compliance and quality assurance. Assisting with data entry, schedule printing, and distribution of operational documents. Organizing and labeling PM records, as-builts, field files, and office files for archiving. Required Skillset Strong strategic thinking and problem-solving skills. Ability to anticipate needs and identify next steps in project operations. Excellent facilitation, communication, and coordination skills. Exceptional organizational ability with strong attention to detail. Ability to manage multiple tasks with excellent follow-up. Understanding or willingness to learn construction, maintenance, and project workflows. Qualifications Ability to work independently and as part of a team. Working knowledge of Microsoft Office programs including Outlook, Word, Excel, and Projects. Ability to work with Adobe PDFs and digital documentation tools. Strong written and verbal communication skills. Excellent listening, comprehension, and interpersonal skills. Highly organized with strong prioritization abilities. Must be proactive, reliable, punctual, and professional. Fluent in English. Reliable personal transportation and a driving record that meets company and insurance standards. Physical Requirements & Working Conditions Ability to lift and carry at least 25 pounds. Ability to work in all weather conditions and construction environments. Travel to job sites and client locations as required. Frequent standing, walking, bending, and climbing ladders.
