Allied Restoration Services Emergency Mitigation Division Are you the person who keeps everything organized when everyone else is moving a hundred miles an hour? Allied Restoration Services is looking for a sharp, driven, and highly organized Project Coordinator to join our Emergency Mitigation Services (EMS) team. We're not looking for someone who simply answers phones and pushes paperwork. We need an operational powerhouse who can connect the dots between our field teams, project managers, estimators, insurance companies, and clients. When disaster strikes, our field teams respond. Your job is to make sure everything behind the scenes runs like clockwork. If you're resourceful, accountable, and obsessed with getting things done, we want to meet you.
WHAT YOU'LL DO
You'll be the administrative backbone of our mitigation division, helping take projects from the first emergency call all the way through final invoicing. Own the Details. Own the Process. Keep project files organized, accurate, and up to date in Albiware and other systems. Ensure job documentation, photos, signatures, and authorizations are complete. Track active projects, identify missing information, and keep jobs moving toward completion. Coordinate with project managers and estimators to ensure estimates are submitted and approved. Keep the Money Moving. Identify completed jobs that are ready for invoicing. Prepare invoices, change orders, work orders, and retail quotes. Follow up with insurance companies on approvals and outstanding estimates. Catch billing issues before they become problems. Keep Everyone Connected. Coordinate schedules with technicians, vendors, testing companies, and subcontractors. Confirm client appointments and technician arrival times. Communicate with homeowners, insurance adjusters, and internal teams. Provide timely project updates and ensure everyone knows the next step. Coordinate project transitions between mitigation, contents, and reconstruction. Solve Problems Before They Become Emergencies. Identify stalled projects and missing documentation. Follow up without being asked. Hold team members accountable for the information needed to move jobs forward. Find solutions, remove bottlenecks, and help the entire division operate more efficiently.YOU'RE A FIT IF

We're looking for someone who can balance a great customer experience with the discipline needed to keep a high-volume operation running efficiently.EXPERIENCE THAT WILL SET YOU APART
Experience in restoration, construction, property management, or insurance claims. Previous experience as a project coordinator, operations coordinator, or administrative specialist. Familiarity with restoration software such as Albiware, MICA, XactAnalysis, or similar platforms. Experience with project billing, invoicing, and subcontractor coordination. Strong computer skills and experience managing multiple projects through digital systems. Restoration industry experience is a plus, but exceptional organizational skills, a strong work ethic, and a willingness to learn are essential.OUR CULTURE
