Position Overview The Project Coordinator I (Project Controls & Systems) plays a critical operational role supporting our Project Managers and Accounting team. This position blends traditional construction document administration (submittals, RFIs, change order tracking) with technical software workflows—serving as the primary administrator for our Project Management and Construction Accounting/ERP platforms. The ideal candidate is tech-savvy, process-driven, and thrives on keeping project financials, schedules, and compliance data organized and synchronized. Key Responsibilities 1. • Maintain cost code discipline (CSI / NAHB) across all active budgets, commitments, purchase orders, and change orders.
  • Onboard and manage trade partners, subcontractors, and vendors within the project management portal.
  • Audit system data regularly to ensure seamless synchronization between job-cost reporting, field logs, and general accounting.
  • Help develop and document standard operating procedures (SOPs) for software adoption across field and office teams. 2. Project Operations & Document Control
  • Coordinate and track project documentation, including RFIs, submittals, drawing sets, specifications, and meeting minutes.
  • Assist Project Managers in tracking project schedules, milestone completions, and material delivery lead times.
  • Prepare owner progress reports and distribute weekly project updates.
  • Organize and maintain digital job files, ensuring plans and field sets reflect the latest addenda and revisions. 3. Subcontractor Compliance & Cost Management
  • Track subcontractor compliance documentation, including Certificates of Insurance (COIs), executed master agreements, and conditional/unconditional lien waivers.
  • Review subcontractor payment applications and supplier invoices for initial cost-code accuracy before management approval.
  • Assist in assembling change order documentation and compiling backup for owner draw requests. Qualifications & Skills Experience & Education
  • 1-3 years of experience in construction coordination, project administration, architectural/engineering support, or a related role.
  • Bachelor's degree in Construction Management, Business Administration, Accounting, or equivalent practical industry experience. Technical Skills
  • Proficiency with construction project management or ERP systems (e.g., Acumantica, Jonas, Sage Intacct, Spectrum, BuildOps, RedTeam, Knowify, or QuickBooks Online).
  • Advanced proficiency in Microsoft Excel / Google Sheets and digital PDF workflows (Bluebeam Revu or Adobe Acrobat) as well as Microsoft Project.
  • Strong aptitude for learning and configuring new SaaS tools, custom fields, and automated workflows. Core Competencies
