Job Summary We're adding a Project Documentation Coordinator to support our Preconstruction team on a part-time basis. Reporting to the Lead Project Engineer, this role works closely with our project engineering and preconstruction teams to coordinate subcontractor and supplier documentation - primarily lien waivers, with certificates of insurance and other compliance documents added to the role over time. RESPONSIBILITIES
Coordinates with subcontractors and suppliers to collect required lien waivers for active projects. Tracks outstanding lien waivers and billing documents needed to process subcontractor and supplier payments. Maintains accurate compliance tracking logs (e.g., in Smartsheet) to monitor outstanding documentation and upcoming deadlines. Supports the project engineering and preconstruction teams with document organization and data entry in Procore. Follows up proactively with subcontractors and suppliers regarding missing or incomplete documentation. Assists with reviewing billing documents for accuracy and compliance with contract requirements. Supports basic bookkeeping and billing-related tasks as needed. Provides general administrative support to the Preconstruction department. May take on additional compliance documentation over time, such as certificates of insurance, as the role grows. EDUCATION
Required High school diploma or equivalent (such as GED or HSED)
WORK EXPERIENCE
Preferred Experience in construction administration, compliance, billing, or bookkeeping support SKILLS Required Strong organizational skills with excellent attention to detail Strong written and verbal communication skills Ability to manage multiple deadlines and follow up independently Preferred Experience with Levelset or similar lien waiver/compliance tracking software Familiarity with Smartsheet Familiarity with Procore Basic bookkeeping knowledge Compensation and Benefits $18.00 per hour, negotiable based on experience Weekly pay On-site snacks, coffee, and a supportive work environment Opportunity to grow within the company, including the potential to move into a full-time role Eligibility for medical insurance and 401(k) match if this position transitions to full-time employment
