Job Description
Help Turn Organizational Priorities Into Action Days End Farm Horse Rescue (DEFHR) is entering an exciting period of organizational growth, campus development, and expanded programs and services. As we invest in our facilities and strengthen the infrastructure needed to support our future, we are seeking an experienced Operations Manager to help keep the many moving pieces organized, coordinated, and moving forward. This is a hands-on operational leadership role for someone who is highly organized, enjoys solving problems, follows through, and knows how to turn direction into action. Working closely with the CEO and organizational leadership, the Operations Manager will coordinate organizational projects, facilities and campus needs, vendors and contractors, purchasing, operational systems, technology, and other administrative functions. The position will also supervise assigned Operations staff and support consistent systems and processes across the organization. We're looking for someone who can see both the big picture and the details—someone who takes initiative, anticipates next steps, and can independently move approved priorities forward while recognizing when a decision or change in direction requires leadership involvement. What You'll Do Coordinate organizational priorities and projects, keeping timelines, responsibilities, decisions, and deliverables organized and moving forward. Translate CEO-approved priorities into actionable plans, next steps, schedules, and follow-up. Coordinate major organizational and campus projects, working with vendors, contractors, architects, engineers, consultants, and other professional partners. Obtain and organize proposals, estimates, quotes, and project information for review and approval. Track project schedules, approved budgets, contracts, change orders, decisions, and outstanding items. Coordinate the maintenance and stewardship of DEFHR's buildings, grounds, infrastructure, fleet, equipment, and other physical assets. Develop and maintain systems for preventative maintenance, facility needs, inventories, warranties, inspections, and organizational assets. Coordinate purchasing, vendors, contracts, and operational resources within established budgets and priorities. Support established human-resource processes including recruitment, onboarding, performance-review coordination, benefits and personnel administration. Coordinate technology vendors, organizational systems, insurance and risk-management activities, safety, permits, and operational compliance. Provide operational oversight of Tink's Tack & Treasure, DEFHR's donated tack and resale program. Supervise and support assigned Operations staff, including the Office Manager and Volunteer Coordinator. Work across departments to identify operational barriers, coordinate shared resources, and help ensure staff have the systems and support necessary to succeed. Who We're Looking For The right person for this position doesn't need to be the expert in every operational function. They do need to be an exceptional organizer, coordinator, problem-solver, and executor who knows how to gather information, work effectively with subject-matter experts, and keep complex work moving. You may be a strong fit if you: Are highly organized and comfortable managing multiple projects and competing priorities. Take initiative and follow through without requiring constant direction. Enjoy turning ideas and decisions into organized plans and completed work. Anticipate needs, identify potential barriers, and develop practical solutions that support established organizational priorities. Are comfortable working with budgets, proposals, contracts, vendors, and project costs. Can move comfortably between a contractor meeting, staff conversation, facilities issue, spreadsheet, vendor proposal, and project-planning discussion. Communicate clearly and professionally with employees, volunteers, vendors, contractors, consultants, and community partners. Build collaborative relationships and can move work forward even when you don't have direct authority over everyone involved. Understand when to make a routine operational decision, when to make a recommendation, and when leadership approval is needed. Enjoy creating systems, improving workflows, and bringing organization to complexity. Are interested in growing with an organization that is building significant new capacity for the future. Experience & Qualifications 4-6 years of progressively responsible experience in operations, business administration, project coordination, facilities management, nonprofit administration, or a related field. Experience supervising staff and/or coordinating cross-functional teams. Demonstrated experience managing complex projects involving multiple stakeholders, budgets, competing priorities, and deadlines. Experience with purchasing, contracts, vendors, budgets, and organizational resources. Experience with facilities, construction, renovations, capital improvements, maintenance operations, or organizational infrastructure strongly preferred. Experience developing or improving organizational systems, processes, or workflows. Working knowledge of human-resource administration, facilities coordination, risk management, and organizational operations. Strong technology skills, including Microsoft Office and the ability to learn new organizational systems. Experience in a nonprofit, mission-driven, educational, healthcare, hospitality, or similarly complex organization is preferred. Horse experience is not required. An interest in DEFHR's mission and a willingness to learn about our programs, horses, and unique working environment are important. This is a full-time, primarily on-site position at DEFHR's Woodbine, Maryland campus.
Typical schedule:
Monday-Friday, approximately 8:00 a.m.-5:00 p.m., with occasional evenings, weekends, or schedule adjustments to support organizational needs. DEFHR is in a significant period of growth, including major campus improvements, expanded educational and visitor experiences, and continued development of programs serving horses, horse owners, professionals, and communities.
