Job Description
We are looking for a Project Coordinator to support relocation and move-management activities for a client site in Morris Plains, New Jersey. This is a Contract position with the potential to convert to a longer-term opportunity, focused on coordinating logistics, maintaining accurate project records, and keeping communication flowing among clients, vendors, and internal teams. The role is well suited for someone who is highly organized, comfortable managing multiple priorities, and confident working onsite with stakeholders across all levels of the organization.
Responsibilities:
- Coordinate relocation requests from intake through completion, ensuring each move is organized, tracked, and communicated effectively.
- Arrange meetings, reserve workspace or conference rooms, and prepare clear follow-up notes for project teams and stakeholders.
- Develop client-facing move communications, packets, labels, and related materials to support smooth execution of scheduled activities.
- Support onsite move operations by assisting with pre-move planning, day-of coordination, inventory checks, signage placement, and oversight of movers or installers.
- Work closely with property management, facilities teams, vendors, and subcontractors to align schedules and complete relocation-related tasks on time.
- Review vendor billing against purchase orders or service agreements and flag discrepancies for resolution.
- Maintain accurate occupancy, move, and project data within company tracking tools and related documentation.
- Assist with proposal preparation, operational documentation updates, and follow-up support after moves, including handling post-move issues and requests.
- Strong written and verbal communication skills with the ability to work effectively with internal teams, vendors, and executive-level contacts.
- Excellent organizational skills and close attention to detail in a fast-paced, multi-project environment.
- Ability to balance multiple assignments, adjust priorities as business needs change, and work both independently and collaboratively.
- Basic proficiency with Microsoft Office applications for documentation, scheduling, and reporting.
- Strong interpersonal skills and sound judgment when coordinating with clients and cross-functional stakeholders onsite.
- Flexibility to support varying work hours and travel requirements when needed.
- Experience with project coordination, operations support, facilities-related activities, or move management is preferred.
