An Assistant Project Manager assists a project manager on projects with a defined scope, start and completion point. Provides site management for large construction projects. Assists with managing cost estimates and bids; manages contractors and subcontractors, project budgets and schedules.

Position Overview We are seeking a motivated and detail-oriented Assistant Project Manager to support the execution and financial management of multiple HVAC and construction projects. This position combines project coordination, job costing, accounting support, and construction administration , making it an excellent opportunity for someone who understands both the operational and financial sides of construction projects. The Assistant Project Manager will work closely with Project Managers, accounting, field personnel, vendors, and subcontractors to help ensure projects remain organized, on schedule, and within budget. Key Responsibilities Project Management & Coordination Assist Project Managers with day-to-day project coordination, administration, and documentation. Track project schedules, budgets, milestones, and change orders. Coordinate with vendors, subcontractors, field personnel, and internal teams. Maintain project documentation and ensure records are accurate and up to date. Manage and track submittals, RFIs, change orders, and closeout documentation. Assist with material procurement, deliveries, and coordination with field operations. Help identify and resolve scheduling, documentation, and project-related issues. Job Costing & Financial Tracking Set up and maintain project cost codes, budgets, and financial information within the accounting system. Track and reconcile project costs, labor hours, purchase orders, materials, and subcontractor invoices. Assist with monthly job cost reports, project forecasts, and budget-to-actual analysis. Monitor project expenses and help identify potential cost overruns. Support Project Managers with maintaining accurate financial information throughout the project lifecycle. Billing & Accounting Support Monitor project billing schedules and requirements. Assist with AIA billing, progress billing, and supporting documentation . Coordinate with accounting to ensure invoices, costs, and project financial information are accurately recorded. Assist with tracking change orders and ensuring approved changes are properly reflected in project budgets and billing. Support accurate revenue recognition and project profitability reporting. Project Administration Maintain organized project files, contracts, purchase orders, subcontracts, and supporting documentation. Assist with project closeout packages and final documentation. Prepare reports, spreadsheets, and project tracking documents as needed. Communicate project updates and outstanding items to appropriate team members. Qualifications 2-5 years of experience within HVAC, mechanical contracting, or general construction . Previous experience in project coordination, Assistant Project Management, job costing, or construction accounting. Understanding of construction project lifecycles, budgets, purchase orders, change orders, and job costing. Experience with AIA billing and progress billing is highly preferred. Familiarity with construction management or accounting platforms such as Procore, Sage 300 CRE, Foundation, or similar systems . Strong Microsoft Excel skills and experience working with project tracking tools. Excellent organizational skills and attention to detail. Strong written and verbal communication skills. Ability to manage multiple projects, deadlines, and priorities in a fast-paced environment. Bachelor's degree in Construction Management, Accounting, Business, or a related field preferred; equivalent industry experience will be considered. Compensation & Opportunity $65,000-$75,000 annually , depending on experience.
