Job Description:
Our client - a major utility firm based out of Westchester County, NY - has an immediate need for a Project Controls Analyst. The particulars of the position are as follows.
Project Overview:
The Project Controls Analyst will provide dedicated support to key governance and closeout processes across a large and active project portfolio. This role focuses on assisting the project cancel/closeout workflow and enterprise phase gate governance catchup efforts. This individual will also support the customer facing Project Review Committee (PRC) and Project Health Meeting (PHM) activities. This position is ideal for someone who is detail oriented, highly organized, and comfortable managing large volumes of documentation and data within a structured project governance environment.
Job Functions & Responsibilities:
1. Cancel/Closeout Process Support Support the end-to-end cancel/closeout process for a high volume of projects currently in the queue. Review project documentation for completeness, accuracy, and compliance with governance requirements. Perform financial closeout activities, including work order review, PO de-committals, and WBS element closure. Prepare and submit closeout memos to relevant stakeholders. 2. Enterprise Phase Gate Governance Catch Up Support Assist in bringing 150+ projects up to date with enterprise phase governance requirements. Review phase documentation to identify gaps or outdated materials. Coordinate outreach to project owners to obtain missing information, clarify discrepancies, or confirm phase status. Ensure alignment between UOPP phase status, Enterprise governance phases, and schedule-based actuals. Support consistent governance reporting through diligent tracking and follow-up. 3. Customer PRC and PHM Support Assist the Customer Manager and analysts with PRC deck preparation, ensuring accurate and timely content assembly. Support PHMs through notetaking, action item tracking, and distribution of meeting minutes. Contribute to maintaining high quality customer facing documentation and communication materials.
Skills:
Strong attention to detail with the ability to review, validate, and reconcile project documentation and financial data. Excellent organizational skills, with the ability to manage high volumes of tasks across multiple projects and deadlines. Ability to interpret and follow structured project governance processes, phase gate requirements, and financial closeout procedures. Effective communication skills, including clear written communication for memo preparation and professional outreach to project owners. Proficiency in coordinating follow ups, tracking action items, and ensuring timely completion of governance-related tasks. Strong analytical and problem-solving capabilities, with the ability to identify discrepancies in documentation, project phase alignment, and financial records. Competence in supporting meeting operations, including notetaking, summarizing key discussions, and preparing presentation materials. Ability to work independently while collaborating closely with project analysts, managers, and cross-functional stakeholders. Proficiency with project management tools, financial systems, and Microsoft Office applications (e.g., Excel, PowerPoint, Word). Adaptability and willingness to support shifting priorities within a large, dynamic project portfolio.
Education & Certifications:
Bachelor's Degree in Business or Engineering (comparable equivalent). Minimum 4 years of work experience in related field.
