Coordinator FRFT Exhibit Refresh Project The Henry Ford - 4.0 Dearborn, MI Job Details Full-time 19 hours ago Qualifications Research Full Job Description Our Factory Tour team is seeking an Exhibit Refresh Project Coordinator for a temporary role. The Henry Ford, as part of our Management Agreement with Ford Motor Company, is embarking on an experience review and refresh of the Ford Rouge Factory Tour. This role is expected to begin May 11, 2026 and run through project implementation and documentation concluding July 2, 2028. The project will include five key phases: concept refinement, schematic design, design build, public opening, and documentation. The Exhibit Refresh Project Coordinator supports project coordination, scheduling, milestone tracking, communications, and content editing across major exhibit components, including theaters, interactives, displays, tour scripts, guest-facing materials, interiors, and wayfinding. This hybrid role requires availability Monday through Friday, 9:00 AM - 5:00 PM for meetings, with on-site presence in Dearborn as needed for project work, installations, and key milestones. The position reports to the Director of Museum Experiences & Engagement.
Role Responsibilities Project Coordination:
Coordinate day-to-day project activities across internal teams, Ford Motor Company partners, and external vendors for successful outcomes Maintain project plans, schedules, and logs; track milestones and proactively communicates status updates to alert project leaders to impeding deadlines Monitor project progress, identify risks or delays, and escalate issues with recommended solutions Prepare and distribute regular Exhibit Refresh Project updates, reports, and presentations to internal stakeholders across a variety of forums (e.g., Experience Review Team, staff meetings, THF Connections) Develop and provide project materials for external communications, including board reports, press kits, and website content Serve as primary point of coordination for vendor communication, including deliverables, payment schedules, timelines and contract scope alignment Track and manage image, video, and exhibit asset usage rights and documentation
Content Coordination, Writing & Editing:
Coordinate development and tracking of exhibit content, including scripts, panels, and interpretive materials Conduct research to support exhibit content development Edit and proofread exhibit text, copy, scripts, and closed captioning for accuracy and clarity Develop and edit project communications for internal and external audiences, including board-facing materials
Team & Stakeholder Coordination:
Schedule and coordinate project meetings; manage agendas, notes, and follow-ups Gather and synthesize information from cross-functional stakeholders to ensure that projects stay focused and within the established project parameters Support collaboration across project teams to maintain alignment with scope, timeline, and project goals Attends project meetings to coordinate work and assist in project advancement Ensure timely communication with Ford project partners and internal stakeholders Financial Track project budgets and expenditures in alignment with established processes Maintain financial documentation and support reporting and audit needs Partner with internal teams to ensure accurate budget tracking and reporting Qualifications 2+ years of experience in project coordination or project support roles from concept through implementation Experience supporting multi-disciplinary projects such as exhibitions, programs, construction or special events Familiarity with project management tools (Workfront, Monday.com, MS Project, or similar) Experience working in collaborative, cross-functional environments Special Skills Strong organizational and time management skills with the ability to manage multiple priorities and meet deadlines High attention to detail and commitment to accuracy Effective interpersonal, written and verbal communication skills, including edition and presentation development Ability to build relationships and work collaboratively across diverse teams Professional presence in meetings, including interactions with senior stakeholders Ability to remain adaptable and composed in a fast-paced, evolving project environment Strong communicator with effective listening, writing, copy editing and presentation development skills Knowledge and experience of project management process and workflow Ability to work in a dynamic workplace with a flexible, conscientious, curious, and service mindset Capable of interpreting architectural and fabrication plans preferred Basic financial analyses skills to review expenses and confirm use of funds appropriately
