50 Open Date 05/05/2026 Close Date 05/19/2026 Open Until Filled No Position Summary Information Job Description Summary The purpose of this position is to facilitate and coordinate a wide variety of administrative and operational functions including data research and data analysis. This is accomplished by serving as one of the primary points of operational project contact in the Vice President and Chief Academic Officer (VP/CAO) Office. Supports College-wide initiatives as assigned by the VP/CAO. Schedules and coordinates the calendar for the VP/CAO. Provides project support to the Assistant to the VP/CAO and Associate Vice President of Institutional Effectiveness and Academics with the preparation, continuous support, and completion of projects as directed by the VP/CAO. Works collaboratively and demonstrates a high level of professionalism and confidentiality with and among interactions with administrators, faculty, staff, colleagues, students, and the community. Works collectively with other staff and/or independently contingent on the assignment of a variety of tasks. Must be exceedingly well-organized in all the core elements of the position, flexible within a fast-paced environment, and receptive to learning all of the interconnected components of the VP/CAO Office's operations. Must demonstrate the ability to execute operational plans and projects effectively and efficiently with keen attention to detail, accuracy, and timeliness. Must exhibit effective business etiquette when communicating verbally and in written form with precision with the office staff, internal institutional personnel, and the community. Provides daily support to the VP/CAO and other office staff on all office projects and reports that include various responsibilities on special projects and daily operational tasks but not limited to research, data compilation, data analysis, and report completion that pertain to the VP/CAO Office's operations assigned by the supervisors. Utilizes project management strategies to complete assignments which may include documents, reports, and presentations accurately and effectively. Conducts analysis of projects, supports virtual meeting technology, and prepares the outcomes of the projects to analyze deficiencies and to identify strategies to initiate corrective measures for operational optimization. Collects, organizes, and maintains all files and important documents related to special projects and office operations for historical reference and documentation purposes. Maintains the highest level of confidentiality in all areas of work. Additional duties may be assigned by the supervisors. Job Duties Job Duty Provides operational and management assistance to the VP/CAO Office's operations and provides management and oversight of assigned projects and restrictive deadlines. Job Duty Provides administrative assistance consisting of writing content, editing emails, drafting memos, preparing communications, and maintaining the Office's websites on behalf of the VP/CAO. Prepares and transmits correspondence, presentations, and other memoranda using MS Word, Excel, PowerPoint, and Outlook under restrictive deadlines. Reads, researches and prepares findings; routes correspondence; collects and analyzes information for review for presentations by the VP/CAO; initiates communications as authorized by the VP/CAO. Composes and prepares correspondence that is often time sensitive and ensures that the document content produced is accurate with precision and grammatically correct. Job Duty Manages complex and active calendars; responds to and distributes meeting requests and ensures that schedules are kept up-to-date and are accurate. Resolves meeting conflicts and addresses meeting reschedules to accommodate more urgent time sensitive requests. Keeps the VP/CAO informed of upcoming appointments and deadlines. Monitors and alerts the VP/CAO of schedule conflicts or upcoming deadlines for internal and external reporting agencies. Arranges meetings, prepares, collates, and distributes materials, reserves meeting rooms, visitor passes, equipment, and provisions/refreshments as required. Meets, greets, and escorts visitors, meeting attendees, and candidates. Distributes follow-up materials as needed. Schedules travel arrangements; submits and reconciles expense reports and p-card statements. Job Duty Coordinates logistics for meeting room configuration; welcomes visitors and identifies the purpose of their visit before directing them to the appropriate meeting location. Acts as an administrative point of contact between the VP/CAO and internal/external attendees. Job Duty Contributes to a team effort approach by supporting the planning, preparations, and oversight production for successful results needed for graduation ceremonies, faculty meetings, and faculty professional development events. Exercises independent judgment and discretion on sensitive and confidential projects and assignments. Job Duty Maintains office supplies inventory by checking stock to determine inventory levels and anticipates needed supplies, places and expedites orders for supplies, and verifies receipt of supplies. Prepares and sends all outgoing packages by courier as directed. Job Duty Maintains an organized filing system of paper and electronic documents and databases with primary storage reserved on the VP/CAO's SharePoint site. Creates and maintains lists files and databases that are vital to the faculty's retention, promotion, and tenure status historical records to enhance efficiency and productivity with communications to the faculty. Performs minor accounting and bookkeeping duties. Job Duty Coordinates with the day-to-day operational activities assigned to the office staff. Job Duty Coordinates a variety of activities between internal and external stakeholders in support of the VP/CAO and the College mission. Coordinates, facilitates, and completes special projects vital to the operations of the VP/CAO Office. Utilizes project coordination strategies for operational expediency.
