Job Description

Job Profile Summary Real estate lease administration, project management, administrative support, and vendor management. You will be responsible for the utilization and administration of facilities-based software applications including real estate management, Computer-Aided Facilities Management (CAFM), Desktop and Work order management, Contract Management applications and other MS Office Applications. Your position supports corporate real estate lease administration, facilities and maintenance operations, and facilities-related project management. You will establish, maintain and sustain relationships with landlords, property managers, vendors, and internal customers.
ESSENTIAL DUTIES
  • Assists Corporate Real Estate with lease administration duties, including lease abstraction and management of critical lease dates, management of lease files, and landlord/tenant relationships to ensure lease terms and conditions are met in accordance with lease terms and conditions.
  • Responsible for project management of Facilities related events including coordination, planning, scheduling and completion of activities necessary to support new office openings, office relocations, office closures and de-commissioning of assets in office locations across the US.
  • Provides supplemental support to the Facilities Maintenance operations, including coordination of facilities services and goods from vendors while ensuring compliance within the company's vendor management program.
  • Assists customers and Facilities Maintenance staff in the coordinating of employee moves, adds, and changes and recording the events in the appropriate software application to ensure quality and accuracy of the Employee Record of Location, and other information changes.
  • Provides technical support in testing and measuring performance of the daily integration of the CAFM system with other corporate applications, such as Service Now, and Workday.
  • Provides administrative oversight of the Facilities and Administration shared files.
MINIMUM REQUIREMENTS
  • Associate's degree from an accredited college or university required.
  • Minimum of five (5) years of experience in facilities management and property management.
  • Advanced knowledge of CAFM (Computer-Aided Facility Management) software systems, MS Office suite, MS Project, MS Visio, and SharePoint.
  • Excellent organizational skills.
  • Proficient verbal and written communication skills.
  • Able to use basic office equipment, including a copy machine, fax, personal computer, and mailroom equipment.
  • Able to type 40 WPM.
  • Able to travel locally or nationally by car or plane.
  • Able to work a flexible schedule, including overtime and weekends with little notice.
  • Able to work with software applications that support lease administration and facilities management, i.e., critical lease dates, space plan, maintenance, and asset management.
  • Preferred Certifications in one or more: Project Management Professional (PMP), Certified Facility Manager (CFM), and Facilities Management Professional (FMP).
  • Able to sit for long periods of time performing sedentary activities, on a constant basis.
  • Able to stand, stoop, and kneel to file for long periods of time, occasionally.
  • Able to push, pull, and lift up to 20 lbs. of files, supplies, documents, or other related items, on a constant basis.
  • Exposure to chemicals such as Flooring Adhesive & Paint.
  • Exposure to heights over 20 feet
  • Exposure to noise, occupational, such as tools requiring the use of compressed air, i.
e., air hammer.
Pay:
$28.00 - $30.00 per hour Expected hours: 40.0 per week
