Full Time About the Role We are seeking a highly organized and detail-oriented Project & Operations Coordinator to support our facilities and workplace services team. This position plays a critical role in coordinating employee moves, supporting project logistics, managing operational tracking systems, assisting with billing processes, and ensuring work is scheduled and completed accurately. This role is ideal for someone who enjoys organizing information, managing multiple priorities, working with spreadsheets, and ensuring that details do not fall through the cracks. Success in this position comes from strong follow-through, effective communication, and the ability to manage numerous tasks moving simultaneously. This role manages several recurring business processes simultaneously. The right person enjoys tracking details, solving scheduling problems, and ensuring tasks are completed from start to finish. Key Responsibilities Move & Departure Coordination Coordinate employee office Moves & Departures from initial notification through completion Schedule move activities with field personnel Create and manage employee name signage Maintain move trackers and documentation Prepare communications to clients, managers, and internal teams. Project Support Assist with preparing project materials (printing document packets, name signage, etc) Maintain project documentation and records as needed Support project billing and documentation requirements Administrative & Financial Support Create purchase orders for vendors and contractors. Prepare invoices within the company ERP system. Maintain accurate records and supporting documentation. Qualifications Required Strong proficiency with Microsoft Excel, Word, Outlook, and Office 365. Experience maintaining spreadsheets and tracking systems. Exceptional organizational and time-management skills. Strong written and verbal communication skills. Ability to manage multiple priorities simultaneously. High attention to detail and accuracy. Ability to work independently with minimal supervision. Team oriented, works effectively with sales, project management, warehouse, installation, and leadership. Customer focused and understands that successful operations ultimately drive customer satisfaction. Preferred Experience supporting projects, operations, facilities, construction, logistics, or workplace services teams. Experience with ERP systems, work order systems, or ticketing platforms. Experience using Excel formulas, mail merge, macros, or other office automation tools. Experience coordinating schedules, vendors, or project activities. What Success Looks Like The successful candidate will: Keep move and project trackers accurate and current. Ensure employee moves are coordinated efficiently and professionally. Identify and follow up on incomplete tasks before they become problems. Support accurate and timely billing. Maintain organized records that allow the team to operate efficiently.
