FIELD COORDINATOR POSITION SUMMARY
The Field Coordinator
- Field Operations & Compliance provides critical administrative and operational support to Ryan Infrastructure's project teams, field workforce, and management.
This position is responsible for maintaining accurate field documentation, monitoring workforce time and project assignments, coordinating government-site badging and access requirements, supporting field technology and GPS tracking, managing hauling permit requirements, and ensuring new hires are fully equipped and prepared to begin work. The ideal candidate is highly organized, detail-oriented, technologically capable, and comfortable working in a fast-paced construction environment where accuracy, responsiveness, confidentiality, and follow-through are essential. This position serves as an important link between Project Management, Field Operations, Human Resources, Safety, Fleet, and field employees to ensure that project personnel have the proper documentation, access, equipment, and resources needed to perform their jobs effectively.
ESSENTIAL RESPONSIBILITIES 1.
Field Timekeeping & Timesheet Audits Conduct weekly audits of timesheets for all field employees based on assigned projects and job assignments. Verify that employees are charging time to the correct project, phase, cost code, or assignment as applicable. Identify discrepancies, missing time, duplicate entries, unusual hours, or other timekeeping issues. Communicate discrepancies to Project Managers, supervisors, and employees for timely correction. Assist with maintaining accurate labor reporting and documentation for project management and payroll purposes. Maintain organized records of timesheet audits and corrections. 2. Government Facility & Military Base Badging Coordinate employee badging and access requirements for government shipyards, military installations, bases, and other restrictedaccess project locations. Initiate and track background checks, access applications, required forms, fingerprints, credentials, and other documentation necessary for site access. Monitor badge expiration dates and access requirements to prevent interruptions to employee access. Maintain accurate records of employee clearance and badging status. Communicate with government facilities, security personnel, project teams, and employees regarding access requirements and status. Ensure employees complete required training and documentation prior to accessing restricted project sites. Escalate delays or issues that may affect an employee's ability to report to a project. 3. GPS Field Tracking & Audits Monitor company GPS/telematics systems to support field operations, fleet utilization, and project accountability. Conduct routine GPS audits to verify equipment and vehicle locations, project assignments, and utilization. Review GPS information for discrepancies or unusual activity and communicate findings to appropriate leadership. Assist management with GPS reports and documentation as needed. Maintain confidentiality of employee, vehicle, equipment, and project tracking information. 4. Hauling Permits & Project Documentation Coordinate and maintain hauling permits required for construction projects and transportation activities. Monitor permit requirements, expiration dates, restrictions, and projectspecific conditions. Coordinate with project teams, drivers, vendors, municipalities, and permitting agencies as necessary. Maintain organized records of active, expired, and pending permits. Ensure required permits and supporting documentation are available to field personnel before hauling activities begin. Assist with resolving permitrelated issues that could delay project operations. 5. New Hire Onboarding & Talent LMS Coordination Coordinate newhire training assignments and onboarding requirements in the Talent LMS. Set up employee training profiles and assign required courses based on position, project, and applicable compliance requirements. Monitor training completion and follow up on outstanding requirements. Coordinate with Human Resources, Safety, and Operations to ensure new employees receive all required training before entering the field or restricted project locations. Maintain accurate records of training completion and outstanding requirements. Assist with scheduling orientation, safety training, projectspecific training, and other onboarding activities. 6. New Hire Technology & Equipment Setup Coordinate the preparation and deployment of technology and equipment for new hires. Set up companyissued iPads, cell phones, and other assigned technology. Ensure devices are properly configured and ready for use prior to the employee's start date whenever possible. Coordinate account access, applications, communication tools, and projectrelated technology requirements. Maintain records of assigned company equipment and technology. Coordinate equipment returns, transfers, replacements, and reassignment when employees change positions or separate from the company. Troubleshoot basic technology issues and coordinate with IT or appropriate vendors when additional support is required. 7. Project & Administrative Support Provide administrative support to Project Managers, Operations, and field leadership. Maintain organized projectrelated records and documentation. Assist with tracking employee assignments, project staffing, training, access, and readiness. Prepare reports, spreadsheets, status updates, and other documentation as requested. Communicate effectively with field employees, supervisors, vendors, government personnel, and internal departments. Assist with special projects and operational initiatives as assigned. Perform other duties consistent with the position and business needs.
REQUIRED QUALIFICATIONS
High school diploma or equivalent required; associate degree or additional education in business, construction management, project management, or a related field preferred. 2+ years of experience in project coordination, construction administration, operations support, HR coordination, or a similar role preferred. Active Driver's License. Strong organizational and timemanagement skills. High level of attention to detail and accuracy. Proficiency with Microsoft Office, particularly Excel, Outlook, and Word. Ability to learn and navigate software platforms, GPS/telematics systems, LMS platforms, and other technology. Strong written and verbal communication skills. Ability to manage multiple priorities and meet deadlines in a fastpaced environment. Ability to handle confidential employee and company information appropriately. Ability to work independently while also collaborating effectively with multiple departments.
PREFERRED EXPERIENCE
Experience working with government contracts, military installations, shipyards, or restrictedaccess facilities. Experience with employee badging, background checks, or security access requirements. Experience with GPS/telematics systems. Experience with construction project timekeeping or payroll audits. Experience with Talent LMS or another learning management system. Experience coordinating permits, transportation documentation, or hauling operations. Experience managing companyissued technology and equipment.
