Job Description
Job Overview We are seeking a proactive and detail-oriented Assistant Property Manager to join our dynamic property management team. In this vital role, you will support the overall operations of residential or commercial properties, ensuring smooth day-to-day management, exceptional tenant relations, and compliance with all relevant regulations. Residential and Commercial Property Management related Meeting vendors onsite and coordinating bids for property repairs and improvements Handling incoming and outgoing communications, including phone calls, emails and mail Helping investigate and resolve tenant issues and concerns Coordinating with maintenance staff and service professionals to repair and maintain the building Supporting property maintenance coordination by tracking work orders, scheduling inspections, and liaising with vendors to ensure timely repairs Aiding in conflict management by mediating tenant concerns professionally and escalating issues when necessary Supports in overseeing daily property management operations (work orders, landscaping, janitorial, etc), ensuring the properties are well-maintained and all systems are functioning effectively. Supports work order bill outs, and tenant bill backs Conducts routine inspections of the property's exterior, common areas either for insurance, or fire/building inspection purposes, or for general safety and focus on capital improvement opportunities. Meets insurance inspectors and or local fire/building inspectors for regular routine compliance related inspections annually Leasing & Marketing related Marketing vacancies through online listings, signage and social media as needed Arranging tours with prospective tenants when leasing team members are out Processing rental applications and verifying employment, income and references Inspecting apartments during move-ins and move-outs and doing move out inspection in the system Conducting parking, and storage unit audits, and creating parking maps as needed Accounting and Delinquency Assisting in rent collection, including the issuance of legal late rent notices (including 3 Day Notices to Pay rent or Quit) Assists in posting rents and check scanning, issuing receipts and other rent collection tasks Assists in preparing and mailing both residential and commercial Rent Increase notices. Assists in supporting the collection of utilities reimbursements/ RUBs for residential and commercial tenants Assists in special seasonal accounting projects such as property tax, city business tax and other yearly budget tasks Provides other administrative support to Property Managers and other staff such as filing, typing correspondence and processing paperwork. Other duties Assists with sorting mail and sending out to 3rd party service
