!! Robert Half is seeking an experienced Property Coordinator to provide administrative and operational support to a Property Manager overseeing a portfolio of commercial properties. This role is ideal for a highly organized professional with retail commercial real estate experience who enjoys working with tenants, vendors, and internal teams in a fast-paced environment.

The Property Coordinator will play a key role in keeping property operations running smoothly, with responsibilities spanning vendor coordination, invoicing, tenant communication, maintenance, inspections, and administrative support.

Key ResponsibilitiesSupport the Property Manager with the day-to-day administration and management of a commercial property portfolio.

Coordinate vendor bids and assist with contracts related to repairs, maintenance, and capital improvement projects.

Review, code, and process vendor invoices, job-cost documentation, and expense reclassifications.

Coordinate vendor work orders and follow up to ensure projects and maintenance requests are completed on time.

Coordinate annual property inspections, including fire systems, alarm systems, backflows, and other required inspections.

Open and close utility accounts as needed.

Coordinate vacancy cleanouts and maintain vacancy profiles.

Assist with maintaining Emergency Response Plans, including current contact information for first responders, tenants, utilities, and other key contacts.

Assist the Property Manager with annual budget preparation and related administrative tasks.

Coordinate travel arrangements and process expense reports.

Monitor and respond to daily cases submitted through the customer service platform.

Maintain strong, professional relationships with tenants through timely and effective verbal and written communication.

Leverage technology and emerging tools, including AI, to identify opportunities to improve efficiency, communication, and property operations.
