Full Job Description Operations & Management Specialist Division:
Airbnb/Mid-Term Rentals Reports to: Head of Operations Role Overview Our company is built on a solid foundation with a seven-year track record of excellence in the nightly and mid-term rental industry. We are currently on a rapid growth trajectory, scaling our core portfolio while simultaneously preparing for a historic shift in the local landscape: the Sundance Film Festival's relocation to Boulder in January 2027. We are seeking a nimble, solutions-oriented professional to provide vital executional support for both our established day-to-day operations and our upcoming expansion. This is a critical role for someone who wants to be on the front lines of a business that is already a leader in the field during its most significant period of scaling to date. The Ideal Candidate We are looking for the "glue", someone who thrives in high-pressure environments and finds satisfaction in keeping a complex machine running smoothly.

Key Responsibilities Administrative Operations Inquiry & Lead Management:
Serve as the first point of contact for all inbound guest inquiries via Zillow and AppFolio. Proactively vet prospects to ensure their needs align with property criteria, maximizing conversion and occupancy.
Booking Calendar Management:
Ensure booking calendars are continually updated based on real-time bookings and cancellations.
Listing Coordination:
Create and optimize compelling property listings within AppFolio and Guesty, ensuring data accuracy, photography, and compelling written property descriptions attract premium guests.
Lease Lifecycle Management:
Own the end-to-end leasing process, including the drafting, deployment, and tracking of new leases and extensions to ensure 100% legal compliance and timely execution.
Owner Relations Support:
Facilitate the onboarding of new clients by deploying owner agreements, maintaining document organization, and digital files on the team shared drive.
Financial Administration:
Accurately process and complete security deposit refunds in accordance with company regulations and timelines.
Data Integrity:
Maintain "source of truth" data entry within management software to ensure real-time reporting accuracy for the leadership team.
Marketing & Collateral Support:
Assist in creating and updating various marketing and informational materials to ensure property guides and promotional content remain professional and current.
Property Management Support Onboarding & Logistics:
Assist in the seamless transition of new properties into the portfolio, coordinating the "little things" that ensure a property is guest-ready from day one.
Photography & Showing Coordination:
Manage scheduling of professional photography sessions by coordinating day, time, and onsite contact details for homeowners.
Linens, Bedding & Towel Program:
Lead the program by proactively managing stock levels, pricing, auditing inventory for quality control, and prepping/pulling necessary inventory for properties
Field Support:
Provide supplemental assistance for move-ins, move-outs, and on-site inspections on an as-needed basis to support Property Managers.
