Job Overview We are seeking a highly organized and dynamic Assistant Manager to join our property management team. The ideal candidate will possess strong administrative skills, excellent communication skills, and a superhuman ability to multitask while maintaining a sense of humor and grace at all times. This role involves assisting the manager in daily operations to ensure the smooth function of a luxury cooperative on Palm Beach Island.
Duties Resident Relations & Conflict Resolution:
Act as the first point of contact for resident issues, successfully de-escalating tense situations with empathy, professionalism and a focus on positive solutions.
Administrative Excellence:
Work alongside the General Manager to ensure the management office runs smoothly, handling daily administrative tasks and maintaining organization.
Financial Duties:
Ensure all invoices are correct before routing them to the proper lockbox to ensure prompt payment. Work closely with our bookkeeping company to ensure all residents stay current and send any necessary payment reminders.
File Management:
Use BuildingLink to organize and maintain all correspondence and confirm that all vendor Certificates of Insurance remain up to date. Keep the BuildingLink Library documents compliant and organized for easy resident access.
Customer Service:
Answer phones, respond to emails, and assist residents and staff, ensuring all interactions reflect a positive, professional demeanor.
Correspondence & Supplies:
Manage both incoming and outgoing mail, order office supplies, and coordinate equipment maintenance (keeping records of equipment on BuildingLink as well).
Monthly Board Meetings:
Send out meeting notices, set up Zoom, and assist during the meetings. Help with set up, sign ins, and note taking, as well as general support. Upload meeting Zoom videos to
Vimeo and BuildingLink Professional Interaction:
Act as a professional liaison for staff, owners, visitors, and vendors to maintain a respectful and service-oriented atmosphere. CAM License preferred Qualifications Proven experience in property management or real estate administrative roles preferred Previous admin / assistant experience, preferably in a similar setting with a stable work history. Reliable, punctual with an interest in long-term commitment. A sense of urgency and a high standard of professionalism and character. Professional and pleasant communication and interpersonal skills using discretion and confidentiality Strong organizational skills with attention to detail in data entry and filing systems. Ability to manage multiple tasks efficiently while maintaining high standards of quality. Team management skills with the ability to lead staff effectively and foster a collaborative work environment. Onsite parking is available for employees (one less thing to worry about!)
Pay:
$60,000.00 - $65,000.00 per year
