Job Overview We are seeking a dynamic and detail-oriented Resident Move-In Coordinator/Business Office Manager to join our property management team. This pivotal role combines the responsibilities of coordinating seamless resident move-ins with managing the day-to-day operations of the business office. The ideal candidate will be energetic, highly organized, and possess a strong background in property management, customer service, and administrative functions. You will serve as the first point of contact for prospective and current residents, ensuring a positive experience while maintaining compliance with all relevant regulations. Your leadership will help foster a welcoming community environment and support operational excellence across leasing, tenant relations, and administrative processes. Responsibilities Coordinate all aspects of resident move-ins, including scheduling, documentation, and ensuring compliance with lease agreements and legal requirements such as Landlord-Tenant Law and Fair Housing regulations. Manage lease or rental agreement processes using property management tools using OneSite, ensuring accuracy in data entry and document filing. Serve as the primary point of contact for prospective tenants, providing exceptional customer service through phone etiquette, client communication, and in-person interactions. Oversee the business office operations, including billing, rent collection, budgeting support, and maintaining accurate records through data entry and filing systems. Handle conflict management effectively by addressing resident concerns promptly while adhering to policies related to Section 8 housing programs, LIHTC (Low-Income Housing Tax Credit), and other subsidized housing regulations. Collaborate with property maintenance teams to coordinate facilities management and property upkeep activities. Support property leasing efforts by upselling available units, conducting tours, and negotiating lease terms to maximize occupancy rates. Supervise team members involved in leasing or administrative functions to ensure high performance standards are met consistently. Qualifications Proven experience with property management software in OneSite; familiarity with CMMS (Computerized Maintenance Management System) is a plus. Strong knowledge of landlord-tenant law, Fair Housing regulations, Section 8 programs, LIHTC compliance, and related legal frameworks. Prior experience in real estate administrative roles within property management companies or similar environments. Excellent customer service skills combined with effective negotiation and conflict resolution abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for daily administrative tasks. Demonstrated ability to manage lease or rental agreements accurately while maintaining confidentiality. Experience in team management or supervising staff involved in leasing or office functions is preferred. Strong organizational skills with attention to detail for data entry, filing systems, and record keeping. Ability to handle multiple priorities efficiently while maintaining professionalism in a fast-paced environment.
