A Property Manager manages operations for an apartment building or complex. Recruits and screens tenants for apartments, collects rents and security deposits, responds to requests or complaints from tenants, supervises maintenance and repairs; oversees payment of bills, insurance, taxes and recordkeeping. Manages property and services on behalf of a community association, for properties such as condominiums or cooperatives. Collects fees or dues, responds to requests or complaints, supervises maintenance, oversees work done by contractors, and provides accounting of income and expenses. May also assist owners or a board of directors with regulatory compliance or compliance with community association rules. Manages the operation of commercial or residential properties. Oversees the collection of rents and payment of bills, taxes and insurance for properties, and provides property owners with reports on finances and the status of properties. Directs leasing operations, or equipment and machinery rentals, for a company or business. Determines charges and prepares rental or lease agreements; supervises inventory, equipment maintenance and recordkeeping for leasing operations.

ROLE RESPONSIBILITIES
Commercial Property Manager
OPERATIONS
  • Highly responsive + impeccable follow up, follow through & deadline adherence
  • Create, refine, maintain internal processes & work-flows
  • Lead team to meet performance expectations and departmental targets
  • Create and administer operational SOP's and How-To's
  • Emphasis on accuracy, efficiency, automations & AI integrations
  • Help obtain and onboard new property management accounts
  • Mobilize marketing strategies and tenant relations events
  • Project ownership, responsibilities, collaboration & support
  • Adopt, support and progress annual departmental programs
  • Attend org meetings, conduct departmental/team meetings
FINANCIALS & PORTFOLIO PERFORMANCE
  • Help prepare & oversee property operating budgets
  • Understand CAM charges, projections & year-end reconciliation
  • Track income, expenses, rent collection, AP/AR (properties/portfolio)
  • Submit, review, authorize invoices and payables (AP)
  • Review and approve management invoices to property owners (AR)
  • Review monthly "owners reports" property financials, tenancy status, etc.
  • Manage security deposit activity, receivables and approve payables
  • Accountable for portfolio report delivery time and accuracy.
PROPERTY MANAGEMENT
  • Regular site visits, master property dynamics, initiate property tasks
  • Prioritize & coordinate seasonal tasks and annual inspections (fire, boiler, elevator)
  • Perform move in/out activities, welcome tenants, property introductions
  • Trigger tenant default notices and eviction processes (3-Day Notice + 7-Day Cure to Quit)
  • Coordinate legal & court filings with general counsel (May require court attendance)
  • Oversee and manage field staff work orders, repairs, response and close rate
  • Manage property and tenant improvement projects and expenditures
TENANT & CLIENT SUPPORT
  • Respond to tenant requests & inquiries to in-house 'response time' metrics
  • Mobilize maintenance request solutions to in-house 'service resolution' metrics
  • Defuse & resolve challenging tenant interactions and grievances (uncommon)
  • Build professional relationships & establish rapport with current and prospective tenants
  • Oversee tenant communications like notices, newsletters, emails, presentations
PROSPECTS & LEASING
  • Collaborate with leasing team on expiration, renewal, vacancies, marketing, etc.
  • Oversee lease expiration renewal program, efficacy and communications
  • Perform property and unit tours
  • Prepare leases & guide prospective tenants through the leasing process (when needed)
  • Coordinate lease signing, new tenant orientation & move-In process
MARKETING & PARTNERSHIPS
  • Seek and establish 'value-add' relationships with area businesses
  • Utilize partnerships to deliver on-trend and unique office community experiences
  • Define & coordinate sponsors and local influencers for property/leaseholder events
Minimum Qualifications:
High school diploma, GED or industry related certification - bachelor's degree preferred 2 years experience in Class A & B commercial or multi-family Property Management Property management software experience: Yardi, Rent Manager (Appfolio preferred) Disciplined follow-up, deadline adherence & attention to detail Exceptional organizational, time & task management skills Excellent MS Office suite proficiency: Word, PowerPoint, Excel
  • Document formatting, basic Excel formulas, PDF conversions, Outlook email, OneDrive, etc. Excellent written, verbal communication & customer service skills
  • Professional letters, present material, meet tenants, clients, and represent the Encore brand Basic Google drive, Dropbox, adobe, outlook email fluency Ability to manage a variety of tasks independently and in a team setting Video conference software experience: Skype, Google, Teams, Zoom Applied basic mathematical and accounting principals Demonstrable use of electronics; Computer, smartphone, computer, printer, copier Professional, well-kept appearance & workplace etiquette Valid driver's license & current auto insurance
Preferred Qualifications :
Bachelor's degree in marketing, Business Administration, Finance, Construction Management or similar certification(s) 3+ years Property Management
  • Experience in process development & workflow refinement Financial acumen
  • High-level accounting principles & AR/AP bookkeeping fluency
  • Financing & banking fundamentals Exceptional MS Office suite proficiency; Word, PowerPoint, Excel (Outstanding) Project management and software experience: ClickUp, Trello, Jira, Monday.
