An Assistant Property Manager assists and provides support to the manager of a property or complex. May oversee the maintenance of the buildings. May also provide information about the community to prospective residents, and troubleshoot issues with the buildings and community residents.
We are seeking an experienced, organized, and customer-focused Assistant Property Manager to join our team at a professionally managed 228-unit multifamily apartment community in Bozeman, Montana. The Assistant Property Manager serves as a key member of the management team, supporting the Vice President in the day-to-day operations of the community. This position is responsible for resident account management, collections, resident relations, vendor coordination, maintenance administration, compliance, and overall property operations while helping ensure an exceptional resident experience.
Key Responsibilities:
Resident Relations & Office Operations Serve as the primary point of contact for resident concerns and issue resolution. Manage resident accounts, rent collections, and delinquency in accordance with company policies. Prepare lease enforcement notices and other resident communications. Communicate community policies, maintenance updates, and property notifications to residents. Maintain complete and accurate resident files and property records. Ensure compliance with Fair Housing regulations, company policies, and applicable landlord-tenant laws. Prepare operational reports and maintain organized property documentation. Property Operations & Vendor Coordination Coordinate vendors for maintenance repairs, inspections, preventative maintenance, and contracted services. Schedule vendor appointments and coordinate property access. Obtain vendor estimates and assist with coordinating approved maintenance projects. Track vendor work orders and ensure timely completion of services. Review vendor invoices for accuracy and submit documentation for processing. Maintain vendor records, contracts, and certificates of insurance. Coordinate with the Lead Maintenance Technician to ensure efficient scheduling of repairs, preventative maintenance, and apartment turns. Assist with property inspections and identify maintenance or safety concerns requiring follow-up. Administrative Support Support the Vice President with the day-to-day operations of the property. Maintain accurate reports and operational records. Assist with special projects and operational initiatives as assigned. Qualifications Minimum of three (3) years of multifamily property management experience. Experience with resident relations, rent collections, and lease enforcement. Experience coordinating vendors and property operations. Strong customer service, communication, organizational, and problem-solving skills. Ability to manage multiple priorities in a fast-paced environment. Proficiency with Microsoft Outlook, Word, and Excel. Experience using property management software. Preferred Qualifications Experience with RealPage OneSite or similar property management software. Certified Apartment Manager (CAM) designation. Knowledge of Montana landlord-tenant law and Fair Housing regulations. Licensing Requirement A current Montana Property Manager License (MPML) is preferred. Candidates without an active license must be willing and able to obtain and maintain a Montana Property Manager License within ninety (90) days of hire.
