Position Summary The Commercial Real Estate Property Manager will be responsible for the overall management and performance of assigned commercial properties. This includes budgeting, financial reporting, tenant relations, vendor oversight, building operations, lease administration, capital projects, risk management, and coordination of property-level services. The position requires regular interaction with property owners, tenants, vendors, contractors, brokers, attorneys, accountants, municipalities, and internal team members. Essential Responsibilities Portfolio and Owner Relationship Management Serve as the primary property management contact for assigned owners and institutional or private investment clients. Establish credibility through responsiveness, sound judgment, accurate information, and consistent follow-through. Prepare and present regular property performance updates, operating reports, variance explanations, and recommendations. Identify operating, financial, tenant, and physical plant issues before they affect asset performance. Develop and maintain strong relationships with ownership representatives, lenders, brokers, tenants, contractors, and service providers. Participate in property tours, ownership meetings, annual reviews, leasing discussions, and asset strategy meetings. Financial Management and Budgeting Prepare, manage, and monitor annual operating budgets, capital budgets, forecasts, and property business plans. Review monthly financial statements and provide meaningful variance explanations and corrective recommendations. Monitor operating expenses, utilities, repairs and maintenance, capital expenditures, and tenant recoveries. Oversee common area maintenance, operating expense, tax, insurance, and other recovery calculations, including annual reconciliations. Review accounts receivable, delinquency reports, unapplied cash, tenant billings, and collection activity. Coordinate with accounting to ensure timely, accurate, and properly supported tenant billings and owner reporting. Analyze property performance and recommend opportunities to reduce expenses, improve recoveries, increase tenant retention, and enhance net operating income. Maintain appropriate documentation for audits, lender reporting, owner review, and internal controls. Tenant Relations and Retention Serve as a trusted, highly responsive point of contact for tenants. Manage tenant concerns, service requests, disputes, access issues, building interruptions, and operational questions. Conduct regular tenant communication and property inspections to identify concerns and improve the tenant experience. Coordinate tenant move-ins, move-outs, construction activity, signage, access credentials, special events, and restoration obligations. Partner with the leasing team on renewals, expansions, relocations, proposals, tours, tenant improvements, and retention strategies. Building Operations and Vendor Management Oversee property operations, including janitorial services, landscaping, snow and ice removal, security, parking, elevators, HVAC, utilities, waste removal, pest control, and life-safety systems. Manage preventive maintenance programs and ensure building systems are inspected, serviced, and documented appropriately. Solicit, evaluate, and negotiate vendor proposals and service contracts. Monitor vendor performance, service levels, insurance compliance, pricing, safety practices, and contract obligations. Review work orders, invoices, proposals, purchase orders, and change orders for accuracy and authorization. Maintain productive relationships with contractors, engineers, building personnel, and service providers. Ensure properties are maintained in accordance with ownership expectations, lease requirements, applicable codes, and sound industry practices. Capital Projects and Physical Asset Management Assist with the development of rolling capital expenditure plans and long-term property improvement strategies. Manage or coordinate roof, paving, façade, HVAC, lighting, life-safety, building automation, parking, common area, and other capital projects. Obtain bids, evaluate scopes of work, coordinate scheduling, monitor budgets, and verify completion. Communicate project status, risks, change orders, and budget implications to ownership and internal stakeholders. Coordinate tenant improvement projects and landlord work with construction managers, contractors, architects, engineers, and tenants. Maintain accurate project records, warranties, closeout documents, and capital asset information. Lease Administration and Compliance Interpret and administer lease provisions affecting operations, maintenance, repairs, services, expenses, insurance, access, signage, alterations, options, and tenant obligations. Maintain accurate lease abstracts, critical dates, escalation schedules, renewal options, notice requirements, and operating expense provisions. Coordinate with legal, accounting, leasing, and ownership teams regarding lease compliance and tenant obligations. Review tenant certificates of insurance, contractor requirements, indemnification provisions, and other compliance matters. Support lease audits, property inspections, due diligence, lender requests, insurance claims, and legal inquiries. Risk Management and Emergency Response Maintain appropriate property-level safety, emergency response, incident reporting, and business continuity procedures. Respond calmly and effectively to building emergencies, severe weather, utility interruptions, security incidents, water events, fire alarms, and other urgent matters. Coordinate with emergency responders, contractors, insurance representatives, ownership, and tenants as appropriate. Document incidents, corrective actions, claims, repairs, and follow-up responsibilities. Participate in an after-hours emergency response rotation, if required by the portfolio. Team Leadership and Collaboration Provide direction and accountability to assistant property managers, property administrators, building engineers, maintenance personnel, and administrative support staff. Establish clear expectations, service standards, deadlines, and communication protocols. Mentor less-experienced team members and contribute to the continued development of the property management platform. Collaborate effectively with brokerage, leasing, accounting, construction, marketing, legal, and executive leadership teams. Contribute ideas and process improvements that increase efficiency, transparency, and client service. Required Qualifications Five (5) or more years of progressively responsible commercial real estate property management experience; ten (10) or more years is strongly preferred. Demonstrated experience managing office, retail, industrial, medical office, or mixed-use commercial properties. Strong understanding of commercial leases, operating expense recoveries, CAM reconciliations, budgeting, financial reporting, and tenant relations. Experience managing vendors, contractors, building operations, capital projects, and tenant improvement work. Proven ability to communicate effectively with property owners, tenants, brokers, contractors, and internal stakeholders. Demonstrated financial fluency, including the ability to understand income statements, balance sheets, budgets, forecasts, recoveries, and variance reports. Valid driver's license and reliable transportation for property visits to assigned assets. Preferred Qualifications Bachelor's degree in real estate, business, finance, accounting, construction management, or a related field; equivalent experience will be considered. Professional designation such as CPM, RPA, FMA, CCIM, CFM, or equivalent preferred but not required. Experience with MRI, Yardi, Building Engines, Angus, Workday, or other commercial property management and accounting systems.
