Job Description

Responsibilities of Property Manager All of the following tasks are the responsibility of the Property Manager. Even those tasks delegated to others, the Property Manager has ultimate responsibility and must maintain awareness.
  • Applications
  • Review and approve all prospective resident applications/credit reports/leases. [ Non-delegable ]
  • Rates
  • Works with SVP in creating adjustments in unit market rates, monthly renewal rates, and incentives. [ Non-delegable ]
  • Market
  • analyzes market conditions, occupancy trends, competitive pricing and product.
  • Marketing
  • works with SVP in creating and implementing marketing campaigns and marketing materials.
  • Leasing Staff
  • Directs and coordinates activities of leasing staff engaged in marketing and leasing of apartment units and community promotional events.
  • Complaints/Work orders
  • reviews and investigates resident complaints/word orders and ensures proper resolution.
  • Promotes positive public relations with apartment community residents. [ Non-delegable ]
  • Is responsible for the overall direction, coordination, and evaluation of all on-site personnel. Promotes positive working relationships with and between company employees. [ Non-delegable ]
  • Handles all personnel matters for community staff including interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems; seeking, as needed and required, counsel and final approval from SVP. [ Non-delegable ]
  • Collections
  • Monitor collections/delinquencies. Communicate with tenants /guarantors regarding delinquencies. Turn delinquent accounts over to collections/eviction.
  • Budget Variances
  • Routinely monitor adherence to budget and address variances. [ Non-delegable ]
  • Annual Budget
  • Work with SVP to prepare annual budget. [ Non-delegable ]
  • Invoices (non-utility)
  • Obtain W9s and Insurance
  • verify compliance with requirements, instruct vendors re submission of invoices
  • review/approve invoices at least every other day.
  • Invoices (utility)
  • Provide utility invoices to accounting promptly for payment.
  • Monitors leasing status reports, leasing activity, financial reports, and maintenance logs for adherence to community fiscal and occupancy goals.
  • Weekly (during leasing season)
  • prepare weekly summary of pre-lease status, occupancy, traffic and work-order completions.
  • Monthly
  • prepare variance report, review financials, prepare summary of activities and performance. [ Non-delegable ]
  • Routinely inspects community buildings, grounds, and vacated apartments to determine repairs or maintenance required to maintain high quality appearance and product.
  • Monitors responsiveness and effectiveness of after hours and emergency on-call coverage and service.
  • Directs and coordinates activities of maintenance staff. [ Non-delegable ]
  • Monitors agreements for services such as trash collection, extermination, or carpet cleaning., etc All annual contracts must be re-bid (with a minimum of 3 competitive bids) every year.
  • Inspect vendors' work regularly to ensure expectations are met.
