Job Description

Alpine Property Management & Maintenance is seeking an experienced, highly organized Maintenance Coordinator to join our team. This is a fast-paced position that requires excellent communication skills, strong attention to detail, and a genuine commitment to resident satisfaction. The ideal candidate understands that a maintenance request is never "just a work order." Whether a resident is reporting a major emergency or a minor inconvenience, you will treat every concern with empathy, professionalism, urgency, and respect. What You'll Do Resident & Vendor Coordination Receive and coordinate maintenance requests from residents. Respond to urgent situations calmly and professionally. Ensure residents feel heard, valued, and supported throughout the repair process. Communicate effectively with residents, owners, vendors, and team members through phone calls, email, and text messaging. Schedule vendors and follow up to ensure work is completed promptly. Work Order & Project Management Research property ownership and verify Not-to-Exceed (NTE) spending limits before authorizing work. Obtain bids and estimates from vendors in a timely manner. Prepare professional owner proposals with clear scopes of work, pricing, and recommendations. Compare multiple vendor estimates to ensure scopes are consistent and pricing is competitive. Assist property owners by providing informed recommendations and observations. Quality Control & Field Coordination Meet vendors on-site when necessary to review project scope and expectations. Post required notices to residents. Photograph completed work and maintain accurate project records. Inspect completed jobs to verify the agreed scope of work was performed satisfactorily. Track project progress and communicate updates to owners and residents. Administrative Responsibilities Draft professional correspondence, proposals, and bid summaries using proper grammar and punctuation. Maintain detailed and organized records. Prioritize multiple projects simultaneously while meeting deadlines. Learn and utilize property management software and other technology platforms. Qualifications Required Skills & Experience Exceptional organizational and multitasking abilities. Strong problem-solving and critical-thinking skills. Ability to remain calm and professional during emergencies and high-pressure situations. Outstanding customer service skills with a genuine desire to help people. Excellent verbal and written communication skills. Comfortable speaking on the phone throughout the day. Strong attention to detail and accuracy. Proficiency with Microsoft Outlook and general computer applications. Ability to quickly learn new software systems. Professional, dependable, and accountable. Preferred Experience Property management, maintenance coordination, construction administration, vendor management, or project coordination experience. Experience reviewing bids, proposals, and scopes of work.
