Job Summary The Portfolio HOA Manager is responsible for efficiently and effectively managing 6-8 homeowners associations. This role requires someone who thrives on detail, execution, and accountability —someone who ensures that budgets are accurate, maintenance is handled promptly, compliance is enforced fairly, and communication is clear and timely. The right candidate is driven to win, committed to getting things done the right way, and operates with a strong sense of urgency while maintaining professionalism. Success in this role will be measured by key performance indicators (KPIs) such as budget adherence, board satisfaction, homeowner satisfaction, compliance enforcement, and maintenance response times across all assigned properties. Key Responsibilities & Performance Expectations Financial Management:
Develop and manage budgets for multiple HOAs with accuracy and transparency , ensuring adherence to approved allocations. Maintain a 95%+ collection rate across all associations by overseeing timely collection of dues and assessments. Ensure all vendor payments and financial obligations are met within 30 days . Prepare and present detailed financial reports to each HOA Board of Directors monthly or quarterly.
Maintenance & Facilities Management:
Oversee the maintenance and upkeep of common areas across all properties, ensuring compliance with HOA standards. Respond to maintenance requests within 24 hours and ensure non-emergency repairs are resolved within seven days . Supervise contractors and vendors across multiple properties, ensuring high-quality and timely project completion. Conduct monthly property inspections for each association, documenting and addressing any issues promptly and thoroughly .
Rule Enforcement & Community Standards:
Monitor compliance with community rules across all managed associations and issue notices within 48 hours of reported violations. Work with homeowners to resolve 80% of violations on first notice within 14 days. Ensure fair and consistent enforcement of community bylaws and regulations across all communities.
Resident & Board Communication:
Act as the primary liaison between multiple Boards and homeowners, ensuring all concerns and inquiries are addressed within 48 hours . Distribute community newsletters and updates at least quarterly for each managed association to keep homeowners informed. Organize and facilitate Board meetings , ensuring all materials and reports are prepared and distributed at least five days in advance . Maintain a homeowner satisfaction rating of at least 85% in annual community surveys across all properties.
Administrative & Legal Compliance:
Maintain accurate and up-to-date records of all association documents, financial statements, meeting minutes, and homeowner communications. Ensure compliance with state and local HOA regulations for all managed properties, preventing any legal penalties. Process architectural requests within seven days of submission, ensuring compliance with community standards.
Required Qualifications:
Bachelor's degree in Business Administration, Hospitality, Education, Real Estate, or a related field preferred. Minimum of one three of experience in property management, real estate, or HOA management, preferably in a portfolio role. Strong financial acumen , with experience in budgeting and financial reporting for multiple properties. Excellent communication skills
  • clear, concise, and professional in both verbal and written interactions. Strong problem-solving and conflict-resolution abilities
  • able to enforce policies while maintaining positive relationships .
Proficiency in property management software and office applications. Knowledge of local and state HOA laws and regulations . CACM certification required or must be obtained within six months . Key Performance Indicators (KPIs): 95%+ dues collection rate across all managed associations. 80%+ first-notice compliance resolution . 85%+ homeowner satisfaction rating across all communities. Maintenance request resolution within seven days . Monthly property inspections completed and documented for each community.
