An Assistant Property Manager assists and provides support to the manager of a property or complex. May oversee the maintenance of the buildings. May also provide information about the community to prospective residents, and troubleshoot issues with the buildings and community residents.

Position Summary We are a boutique, tight-knit Property Management office looking for a dynamic, detail-oriented Leasing & Field Services Assistant to join our small team. This is a hybrid role perfect for an experienced real estate or leasing professional who thrives on a mix of administrative desk work and active, hands-on field operations during our core office hours of 8:30 AM to 5:30 PM. Because this position requires rapid response times to our local properties and regular office coverage, only candidates residing in South Orange County or within a strict 20-minute drive of our office will be considered. Key Responsibilities; Leasing, Marketing & Photography (Field & Office)
Lead Management:
Follow up promptly with prospective tenant inquiries via phone, email, and leasing software to schedule property viewings.
Property Showings:
Conduct professional, energetic property showings for vacant units across our entire portfolio.
Property Photography:
Capture high-quality photos of vacant units, utilize Adobe Lightroom for basic editing and touch-ups, and upload/market listings directly onto AppFolio and the MLS.
Application Processing:
Review and process rental applications through AppFolio , including verifying income, running credit/background checks, and contacting landlord and employment references.
Lease Preparation:
Assist with drafting comprehensive, legally compliant lease agreements and addenda for approved applicants.
Maintenance Coordination:
Assist with incoming tenant maintenance service requests by contacting, scheduling, and dispatching trusted vendors to properties.
Field Operations & Property Prep Property Readiness:
Install lockboxes for newly listed properties, retrieve them post-move-in, and ensure keys are cut, organized, and ready for incoming residents.
Notice Delivery:
Safely and legally deliver and post sensitive property notices, including Move-In/Move-Out (MIMO) documentation, Post/Mail Rental Increase notices, 24-hour notices to entry, and Post/Mail 3-Day Pay or Quit (POQ) notices.
Sales & Inspections Support:
Assist with property inspection appointments and help manage Estoppel certificates/documentation for real estate sales.
Office Administration & Support Front-Line Communication:
Answer inbound phone calls with a friendly, professional demeanor during the 8:30 AM to 5:30 PM shift.
Team Coverage:
Provide dedicated front-desk and phone coverage during regular team lunch breaks and step in for extended coverage during team vacations.
Financial Tasks:
Assist with routine on-site tasks, including the collection, counting, and rolling of coins from laundry/vending facilities.
Social Media:
Posting lease listings on Instagram and community news/events.
Qualifications & Requirements Location:
Must reside in South Orange County or within a 20-minute driving radius of the office.
Availability:
Ability to work Wednesday-Friday (8:30 AM•5:30 PM) initially, with the permanent flexibility to transition to a Thursday-Saturday (8:30 AM•5:30 PM) schedule after the initial training period.
Experience:
1-2 years of experience in property management, leasing, or real estate operations is preferred. Customer Service Experience is a must.
Tech Savvy:
Direct familiarity with AppFolio (or similar property management software) and Adobe Lightroom (or basic photo editing) is highly preferred.
Reliable Transportation:
Must have a reliable vehicle, a valid CA driver's license, and a clean driving record for regular local travel to properties.
Communication Skills:
Strong verbal and written communication skills; ability to remain professional and empathetic when handling sensitive resident interactions.
Physical Ability:
Comfort being on your feet for showings, walking large properties, climbing up and down stairs, and lifting coin bags for laundry collection.
