Job Description

JOB SUMMARY
Performs administrative, clerical, permitting, records management, and customer service duties in support of Lakes Highway District operations. Provides backup support to the District Clerk and assists District staff, the Board of Commissioners, the public, developers, contractors, and other governmental agencies.
ESSENTIAL DUTIES
Provides information regarding District operations, policies, procedures, permits, and development requirements; refers complex or technical matters to appropriate staff. Provides professional and courteous customer service by phone, email, and in person. Prepares, edits, processes, and distributes correspondence, reports, resolutions, advertisements, legal documents, forms, and other District records. Maintains official records, files, databases, plats, development records, permits, construction records, and other District documentation. Assists with Board and public meetings, including preparation of meeting materials, recording proceedings, preparing minutes, and distributing follow-up documentation. Provides backup support for District Clerk functions, including Board administration, records management, public records requests, and related administrative duties. Processes routine permit applications; reviews submittals for completeness, verifies property and jurisdictional information, calculates fees, tracks requirements, and maintains permit files. Assists developers, contractors, property owners, agencies, and the public with District permitting and land development procedures. Reviews applications, agreements, permits, and other documents for completeness and accuracy; prepares and tracks documents submitted for recording. Conducts research, prepares reports, schedules meetings and appointments, and provides general administrative support. Performs other related duties as assigned.
MINIMUM QUALIFICATIONS
Training and Experience:
Five years of progressively responsible office or administrative experience is preferred. Experience in local government, construction, engineering, permitting, land development, or a related field is desirable. An equivalent combination of education, training, and experience that provides the required knowledge and abilities may be considered.
KNOWLEDGE OF
General office practices, records management, document preparation, and filing systems. Customer service and professional written and verbal communication. Permitting and land development processes. Basic governmental or general accounting practices. Computer systems, standard office software, and electronic records management. Applicable District policies, procedures, resolutions, and regulations.
ABILITY TO
Communicate clearly and professionally, both verbally and in writing. Interpret and apply District policies, procedures, and routine permitting requirements. Review documents and applications for completeness and accuracy. Maintain accurate records, files, databases, and confidential information. Prioritize multiple assignments and work effectively with frequent interruptions. Perform basic mathematical calculations and assist with accounting-related functions. Establish effective working relationships with elected officials, staff, agencies, contractors, developers, and the public. Exercise sound judgment, discretion, initiative, and confidentiality. Pay:
$28.00 - $32.00 per hour Expected hours: No less than 40.0 per week
