This is a hands-on leadership position for someone who can move comfortably between the big picture and the smallest details. One day may involve facilitating a training for 50 volunteer leaders; another may involve coaching an individual volunteer, reviewing a retreat schedule, analyzing a budget, evaluating data, or identifying a better technological solution for a recurring process. The Assistant Director of Retreat Programs will work closely with the Retreats Program Director and other members of the Little Pink team to ensure that retreat programs are mission-centered, consistently delivered, financially responsible, continuously improving, and supported by exceptional volunteer leaders. We are looking for someone who does more than complete tasks. The right person will evaluate, question, improve, teach, collaborate, and lead. Key Responsibilities Develop Leaders and Build Capacity
- Plan, develop, facilitate, and evaluate large- and small-group trainings for retreat leaders and volunteers.
- Help develop training curriculum, presentations, resources, run-of-show documents, and supporting materials.
- Assist in leading annual Retreat Leaders' training weekends.
- Provide ongoing coaching, feedback, resources, and support to retreat leaders.
- Facilitate or support participant, volunteer, and leader Zoom meetings.
- Conduct regular meetings with retreat location leaders to evaluate progress, identify challenges, and ensure timely completion of retreat planning.
- Become fully trained in Little Pink's Coach, Director, and Coordinator roles in order to effectively teach, support, and evaluate field leaders.
- Model a culture in which feedback is expected, growth is valued, and strong performance is developed rather than assumed. Recruit, Assess, Place, and Develop Volunteers
- Recruit and cultivate prospective retreat volunteers.
- Interview, assess, and vet volunteers through conversations, references, recommendations, and established selection processes.
- Evaluate volunteer strengths, readiness, interpersonal skills, and fit for specific retreat roles.
- Coordinate volunteer invitations, assignments, confirmations, and communications.
- Build meaningful ongoing relationships with volunteers.
- Support and train volunteers before and during their retreat experience.
- Evaluate volunteer performance and contribute to future placement and leadership-development decisions. Protect and Improve Retreat Quality
- Review retreat schedules, activities, systems, processes, and structures for quality, consistency, and alignment with Little Pink's mission.
- Evaluate program decisions through the lens of the participant and family experience.
- Identify inconsistencies, inefficiencies, risks, or opportunities for improvement.
- Work collaboratively with retreat leaders to strengthen programming without losing the unique character of individual retreat communities.
- Review retreat planning documents and interactive spreadsheets for completeness and accuracy.
- Ensure accurate retreat information is reflected in Little Pink's digital systems and app.
- Work with property managers, homeowners, retreat leaders, and program staff to protect the integrity of retreat accommodations and capacity.
- Support retreat bookings, property coordination, sponsor recognition, program gifts, vendors, and special retreat needs when appropriate.
- Serve as an on-call property backup for your portfolio of retreats.
- Attend approximately 2-4 Little Pink retreats annually and conduct approximately 2-4 retreat site visits annually. Property Recruitment & Portfolio Management
- Recruit and secure appropriate retreat properties through preferred vendors, property management partners, and private property donors.
- Build and maintain strong relationships with property managers, homeowners, donors, and housing partners.
- Evaluate properties for family needs, location, capacity, accessibility, quality, cost, and overall retreat experience.
- Maintain a reliable property portfolio that meets current and anticipated housing needs in each retreat market.
- Monitor inventory and proactively address housing gaps, changing availability, and replacement needs.
- Coordinate with property partners and internal staff to ensure accurate information regarding availability, accommodations, and requirements.
- Ensure property expectations, agreements, and financial parameters are clearly understood and followed.
- Steward property donors and preferred vendors so they remain informed, valued, and connected to Little Pink's mission.
- Use property and retreat data to guide future housing needs and acquisition priorities. Lead With Financial Discipline
- Create, review, monitor, and evaluate retreat budgets.
- Understand the financial parameters associated with retreat programming and decision-making.
- Help leaders make thoughtful decisions that balance program quality with fiscal responsibility.
- Monitor expenses and identify potential budget concerns before they become problems.
- Evaluate spending choices based on mission impact, participant experience, and available resources.
- Model strong financial stewardship and establish that expectation with retreat leaders and volunteers. Strengthen a Culture of Collaboration, Feedback, and Growth

- Bachelor's degree from an accredited college or university.
- Demonstrated experience in training, facilitation, professional development, volunteer management, program management, or a related field.
- Ability to confidently facilitate both large-group trainings and individualized coaching and development conversations.
- Strong interpersonal skills and demonstrated ability to assess, develop, support, and provide constructive feedback to others.
- Strong relationship-building skills and the ability to represent Little Pink professionally with property owners, vendors, donors, and community partners.
- Strong organizational and project-management skills with the ability to manage multiple programs, deadlines, stakeholders, and priorities simultaneously.
- Experience working with budgets and demonstrated understanding of responsible financial stewardship.
- Strong written and verbal communication skills.
- High attention to detail combined with the ability to evaluate programs from a broader strategic and participant-centered perspective.
- Proficiency with spreadsheets and common workplace technology, along with a demonstrated willingness to develop skills in data analysis, AI, automation, and emerging technology.
- Ability to work independently while thriving within a highly collaborative, feedback-oriented team environment.
- Willingness and ability to travel for retreats, site visits, training events, and other program needs, including occasional evenings and weekends. Preferred Experience
