The purpose of this position is to support customer relations, purchasing, and inventory by providing prompt, friendly service and maintaining accurate records. This position is a primary point of contact for customers regarding pricing, product information, shipments, and orders, while also assisting with purchasing and inventory needs. The Customer Relations, Purchasing & Inventory Assistant is responsible for processing orders accurately and on time, communicating with customers and other departments, monitoring inventory levels, maintaining inventory records, and assisting with purchasing to ensure materials and products are available when needed.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Follow all procedures regarding order fulfillment. Process customer orders using data entry software program (Impress). Respond to and resolve customer service issues. Correspond with customers by email and phone. Contact customers regarding shipping delays, discontinued items, backorders, and other order-related issues. Review and resolve ordering issues. Confirm all orders within 48 hours. Proof data entry orders for accuracy and correct any discrepancies. Review customer service emails a minimum of 10 times daily and forward emails to the appropriate personnel. Process invoicing daily. Maintain control of A/R collections. Enter and update inventory records in the company's inventory or ERP system. Monitor inventory levels and identify items that are running low or need to be replenished. Coordinate with purchasing to make sure needed materials and products are ordered in a timely manner. Assist with purchasing activities and follow up on product availability when needed. Prepare inventory reports for management, purchasing, or accounting. Perform physical inventory counts and cycle counts on occasion to make sure actual inventory matches system quantities. Identify and communicate inventory shortages or discrepancies. Communicate with customers and other departments regarding product availability, shortages, and backorders. Maintain accurate records related to customer orders, purchasing, and inventory. Prioritize daily work based on customer and business needs. Perform other tasks and duties as assigned.
KNOWLEDGE AND SKILLS
High School Diploma or equivalent. Ability to communicate effectively with customers, vendors, and employees. Strong customer service and communication skills. Ability to work independently with minimal direction. Strong attention to detail and accuracy. Ability to prioritize and manage multiple responsibilities. Ability to work in a fast-paced environment. Computer proficiency and ability to learn new software programs. Basic knowledge of order processing, purchasing, and inventory practices preferred. Ability to identify and help resolve order and inventory discrepancies.
PHYSICAL DEMANDS
Sitting for extended periods of time. Frequent alpha/numeric keyboarding and computer use. Frequent communication by phone and in person. Ability to view and work from a computer monitor. Frequent filing and handling of records. Occasional physical inventory counts and work in inventory or storage areas. Ability to lift up to 30 pounds.
Pay:
$21.00 - $23.00 per hour
