Job Description

Overview We are looking for a driven and resourceful Office Assistant / Operations Coordinator with an intrapreneur mindset — someone who takes ownership, thinks creatively, and actively looks for ways to improve and grow the business. This is not a typical assistant role. You will play a key part in operations, job cost tracking, scheduling, and business development , working directly with leadership to help scale the company. What You'll Be Responsible For Operations & Financial Tracking Track job costs, expenses, and budgets using Excel, QuickBooks, or similar tools Maintain accurate records and ensure profitability across projects Identify inefficiencies and suggest improvements to systems and workflows Scheduling & Coordination Coordinate crew schedules, job timelines, and appointments Ensure smooth communication between office, field teams, and clients Help keep projects on track and organized Business Development Support Assist with lead follow-up, client communication, and appointment setting Support efforts to generate new business and increase close rates Track leads, opportunities, and pipeline activity Team & Task Management Help assign, track, and follow up on team tasks Hold team members accountable to deadlines and expectations Support leadership in keeping operations running efficiently Customer Experience Provide professional and responsive communication via phone, text, and email Help create a smooth, positive experience for every client What We're Looking For (Intrapreneur Traits) Ownership mentality
