$22.00 to $24.00/hr (based on experience) Position Summary The HR Operations Coordinator plays an important role in supporting our employees and ensuring the smooth, efficient operation of day-to-day HR processes. This position is hands-on and detail-oriented, with responsibility for maintaining employee records and documentation, managing time-off calendars, coordinating administrative workflows, and providing responsive employee support. As a first point of contact, the HR Operations Coordinator will help employees navigate questions, concerns, grievances, and complaints with professionalism, discretion, and objectivity. The HR Operations Coordinator should be approachable and solutions-oriented. The ideal candidate is self-motivated, detail-oriented professional who brings a positive attitude and strong communication and organizational skills to the role. The successful candidate will be comfortable managing multiple priorities in a fast-paced environment, able to work independently with minimal supervision, and equally effective collaborating with colleagues across the organization.
Essential job duties and responsibilities:
Employee Relations & Initial Intake Support Serve as an approachable first point of contact for employees regarding workplace concerns, policy questions, and general inquiries. Conduct neutral, initial intake of employee grievances, interpersonal conflicts, and formal complaints; document statements accurately and escalate promptly to executive leadership. Maintain strict confidentiality regarding sensitive employee relations matters and documentation. Assist leadership in preparing standard documentation for performance counseling, disciplinary notices, and separation packets. Time-Off Administration & Records Receive and review manually submitted Time Off Requests (TORs). Print approved TORs for physical employee records and update the master company/department time-off calendars accurately, as needed. Assist managers and staff with routine questions regarding time-off availability and company leave policies. Onboarding, Offboarding & Compliance Logistics Assemble new hire orientation packages, coordinate pre-employment documentation, and verify Form I-9 compliance. Guide incoming staff through Day-1 administrative onboarding and policy acknowledgments. Prepare standard separation paperwork, exit documentation, and coordinate the collection of company property upon employee departures. Assist in tracking completion rosters for annual mandatory training (e.g., Harassment Prevention). General HR Administration & File Maintenance Digitize, file, and organize physical and electronic personnel records, ensuring compliance with state and federal record retention laws. Handle general HR clerical duties, including drafting routine verification of employment letters, sorting department mail, and maintaining office forms. Other HR administrative tasks as assigned.
Education and work experience:
Education:
Minimum high school diploma or equivalent required; Associate's degree or coursework in Human Resources, Business, or related fields preferred.
Work experience:
1 to 3 years of hands-on administrative or human resources experience Knowledge and skills: High emotional intelligence, active listening skills, and an objective, professional demeanor when handling sensitive workplace concerns. Strong organizational skills and precision with calendar management and document tracking. Absolute commitment to confidentiality and ethical discretion. Basic familiarity with workplace policies, standard documentation practices, and labor standards. Working proficiency with Microsoft Office (Word, Excel, Outlook) or Google Workspace (Docs, Sheets, Calendar).
Physical demands:
Primary functions require sufficient physical ability and mobility to work in an office setting, including but not limited to: Prolonged periods of sitting at a desk and working on a computer screen. Frequent typing, scanning, filing, and reading detailed paper and digital records. Occasional standing, walking, bending, and reaching to access filing cabinets. Ability to lift up to 20 lbs (e.g., paper reams, orientation materials, or storage boxes).
