In this vital role, you will coordinate and manage surgical appointment schedules, ensuring seamless communication between patients, surgeons, and clinical staff. Your expertise will help optimize operating room utilization, improve patient experience, and uphold the highest standards of clinical confidentiality and efficiency. Duties Schedule surgical procedures accurately within electronic health record (EHR) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks, ensuring all necessary documentation is complete. Confirm patient insurance coverage and verify health insurance information, including Medicare and HIPAA compliance requirements. Review medical records and documentation to ensure all preoperative assessments, consent forms, and care plans are properly prepared prior to surgery. Communicate effectively with patients via phone and email to provide appointment details, answer inquiries, and offer exceptional customer service. Coordinate with physicians, clinical staff, anesthesia teams, and operating room personnel to optimize scheduling efficiency. Maintain detailed records of surgical schedules, cancellations, reschedules, and related documentation in compliance with clinical confidentiality policies. Assist with medical billing processes by understanding CPT coding, ICD-9/ICD-10 coding standards, and ensuring accurate documentation for billing purposes. Requirements Proven experience in medical scheduling within a clinical or hospital setting; clinic experience preferred. Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth or eClinicalWorks; familiarity with electronic health records management is essential. Excellent understanding of medical terminology, health insurance policies, HIPAA regulations, and medical billing procedures. Proficiency in Microsoft Office applications including Word and Excel; typing speed of at least 10 key strokes per second is desirable. Exceptional organizational skills with the ability to multitask efficiently in a fast-paced environment. Bilingual abilities are a plus to serve diverse patient populations effectively. Previous experience working in a medical office or front desk role demonstrating excellent phone etiquette and customer service skills. Knowledge of clinical confidentiality policies and health information management standards. Ability to review medical records thoroughly and ensure accuracy in documentation related to surgical procedures.
