Full Job Description Job Overview:
Temp to Hire position We are seeking a highly organized, proactive, and detail-oriented Scheduler and Administrative Assistant to support our clinical and administrative teams. This role is responsible for managing staff and client schedules, facilitating clear communication across departments, and assisting with general administrative tasks to ensure daily operations run smoothly.Duties:
Coordinate and maintain accurate staff and client schedules. Monitor schedule changes and cancellations; proactively fill open sessions or shifts. Communicate scheduling updates and conflicts to appropriate parties in a timely manner. Support new case pairings, onboarding schedules, and ongoing case adjustments. Provide bilingual support, with a strong proficiency in Spanish. Utilize computerized systems for record management and data entry. Answer and direct calls and emails professionally. Maintain digital and physical records, ensuring accuracy and confidentiality. Assist with document preparation, data entry, and internal reporting. Track and follow up on staff documentation deadlines and requirements.Qualifications:
High School diploma or equivalent required; Associate's or Bachelor's degree preferred. Prior experience in administrative or scheduling roles, preferably in a healthcare or ABA therapy setting. Proficiency with scheduling software, spreadsheets, and digital communication tools (e.g., Google Workspace, Central Reach, Recruit CRM). Excellent written and verbal communication skills. Ability to multitask, problem-solve, and remain organized in a fast-paced environment. Customer service orientation with a professional and positive demeanor. Bilingual inSpanish Job Types:
