Operations Coordinator Company Description/Details A leading technology organization is seeking a highly organized and proactive Operations Coordinator to support day-to-day workplace operations in a fast-paced, high-visibility corporate environment. This role will serve as a key point of contact for facilities, equipment, vendors, workplace services, and administrative needs. The ideal candidate is professional, resourceful, discreet, detail-oriented, and able to independently manage multiple priorities while working with diverse stakeholders.

Responsibilities Include:

Coordinate daily workplace operations across multiple buildings, partnering with Facilities, IT, Security, janitorial teams, vendors, and internal stakeholders to quickly resolve operational needs. Manage equipment and asset processes, including requests, ordering, shipment tracking, loaner distribution, inventory reconciliation, and asset records. Oversee inventory of office supplies, snacks, beverages, and other workplace materials to ensure common areas remain organized and fully stocked. Coordinate conference room readiness, AV/facilities requests, mailroom activities, service tickets, office walkthroughs, and workplace standards. Support space planning initiatives, seating chart updates, office moves, events, catering, visitor coordination, and other administrative projects as needed.

Qualifications:
Experience:

7-10 years of experience in operations coordination, workplace operations, office operations, facilities coordination, or a similar high-responsibility administrative/operations role. Experience managing vendors and cross-functional stakeholders in a fast-paced environment. Experience managing equipment/assets, inventory, shipments, or related operational processes. Experience supporting facilities operations, office moves, seating logistics, or space planning.

Other qualifications/requirements:

Excellent written and verbal communication skills with a professional approach to working with stakeholders at all levels. Strong judgment, discretion, diplomacy, organization, and problem-solving skills. Ability to work independently, prioritize competing demands, and adapt to changing requirements. Comfortable learning and using inventory/asset management systems and creating tracking tools as needed. Proficiency with productivity and collaboration tools such as Calendar, spreadsheets, presentation tools, and Slack. Ability to safely handle and transport items weighing up to 30 pounds. Must be comfortable working 100% onsite in Cupertino, CA, three days per week.

Must-Haves:

7-10 years of relevant operations, workplace, office, facilities, or administrative operations experience. Strong vendor and stakeholder coordination experience. Hands-on asset/equipment tracking and inventory management experience. Experience with facilities operations, space planning, office moves, or seating logistics . Excellent organization, communication, prioritization, judgment, and problem-solving skills. Ability to work independently in a fast-paced, highly cross-functional environment. Availability for the Tuesday-Thursday, 24-hour/week onsite schedule .

Nice-to-Haves:

Experience supporting technology or other fast-paced corporate environments. Experience with asset management platforms such as Oomnitza or similar systems. Experience coordinating conference rooms, AV requests, onsite events, catering, or visitor logistics. Experience providing overflow support to executive/administrative teams.
