The Surgery Scheduler is responsible for coordinating all aspects of patient surgical scheduling, ensuring accuracy of appointments, insurance verification, authorizations, and communication between patients, physicians, anesthesia, and facility staff. The ideal candidate thrives in a fast-paced healthcare environment, has excellent customer service skills, and can manage multiple priorities efficiently. Duties Schedule surgical procedures accurately and efficiently within EMR system according to physician and facility availability. The EMR system used is (SIS) Surgical Information System. Coordinate operating room schedules, surgeon block times, and procedure dates. Coordinate with surgeons' offices regarding case details, special equipment, implants, and scheduling changes. Verify receipt of all required documentation, including: Physician orders History & Physical Consent forms Insurance authorizations Pre-op testing/results Confirm patient demographics and insurance information for accuracy. Maintain detailed records of scheduled procedures, CPT (Current Procedural Terminology) codes, ICD-10 diagnosis codes, and other relevant medical coding information for billing purposes. Coordinate schedule changes, cancellations, and urgent add-on cases. Collaborate with clinical staff to ensure patient readiness and case preparedness. Track incomplete documentation and follow up with physician offices promptly. Ensure compliance with facility policies, HIPAA regulations, and accreditation standards Assist with front office administrative tasks as needed. Experience Prior experience in a medical office setting or healthcare environment is essential; ambulatory experience is highly preferred. Demonstrated proficiency with EMR systems such as Epic, HST, or SIS is preferred. Strong knowledge of medical terminology, CPT coding, ICD-9/10 coding standards, and Medicare/insurance guidelines is necessary for accurate scheduling and documentation review. Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment; clerical experience including filing, data entry (10-key typing), and document management is advantageous. Exceptional customer service skills with a professional demeanor; bilingual abilities are a plus to assist diverse patient populations. Familiarity with health information management practices including HIPAA compliance ensures confidentiality of sensitive patient data. Computer literacy in Microsoft Office Suite (Word, Excel) along with experience using multi-line phone systems enhances daily workflow efficiency.
