Job Summary As an administrative assistant for our Photography Operations team, you will be the carrier of our "Small Details are Huge" core value. This position primarily focuses on supporting our Photography Operations Managers by creating the weekly photography schedule and allocating personnel to hundreds of clients and events per week. Responsibilities Creating the weekly employee schedule for photographers and supporting staff in your market Review and approve timesheet expenses Ensure all employee shifts are entered correctly with all required shift type allocations Collaborate and work closely with photo management in creating the weekly schedule to ensure our top staff members are scheduled Take part in hiring and onboarding. These responsibilities include reviewing and screening applicants, schedule and conduct interviews, and assist with the onboarding process Give administrative support to the Photography Operations Management Team Maintain documentation of policies, processes, and HR documents Responsive to employee emails and phone calls within 24 hours Job Requirements High school diploma or equivalent required. College degree preferred, or currently enrolled in an accredited college or university 1 year experience in logistics or scheduling preferred Some experience in hiring and or interviewing Willing to work a varied schedule based on seasonal needs Excellent interpersonal skills Great time management and task prioritization skills Must return a satisfactory background check Physical Requirements and Environmental Factors Ability to sit and work at a computer for extended periods of time. Ability to use a computer, keyboard, mouse, and other standard office equipment regularly. Ability to occasionally stand, walk, bend, or reach within an office environment. Ability to lift and move items up to 15 lbs., such as files, office supplies, or equipment. Comfortable working in a standard indoor office setting with moderate noise levels. Ability to communicate effectively in person, via phone, and through virtual meeting platforms.
