In this vital role, you will coordinate pre-op testing when appropriate, surgical schedules, manage patient appointments, manage patient messages, and provide exceptional administrative support within the neurosurgery clinic. Your proactive approach and excellent communication skills will ensure smooth clinic operations, accurate documentation, and a positive patient experience. This position offers an exciting opportunity to contribute to cutting-edge neurosurgical care while working in a fast-paced environment. Responsibilities Schedule neurosurgical procedures and follow-up appointments using EMR (Electronic Medical Records) systems such as Epic, Meditech, Athenahealth, or eClinicalWorks. Coordinate with surgeons, anesthesiologists, nursing staff, and patients to confirm appointment details and prepare necessary documentation. Manage patient intake by verifying insurance coverage, collecting medical history, and ensuring all required forms are completed accurately. Review clinical documentation for completeness and accuracy, ensuring compliance with HIPAA and other confidentiality policies. Assist with medical billing processes including CPT coding, ICD-9/10 coding, and Medicare claims submissions to ensure timely reimbursement. Maintain organized medical records and electronic health records (EHR) management systems while safeguarding patient privacy. Provide front desk support by answering phone calls with professional phone etiquette, scheduling appointments, and addressing patient inquiries efficiently. Support clinical staff with care plan documentation review, entering pre appt medical records data, and preparing clinic materials as needed. Utilize Microsoft Office tools for data entry, report generation, and communication purposes. Requirements Proven experience in medical scheduling, clinical administrative support or medical office management within a healthcare setting. Familiarity with EMR/EHR systems such as Epic, Meditech, Athenahealth or eClinicalWorks is highly preferred. Strong knowledge of medical terminology, CPT coding, ICD coding (ICD-9/10), and medical billing procedures including Medicare claims processing. Excellent organizational skills with the ability to review documentation accurately and maintain detailed records. Exceptional customer service skills along with professional phone etiquette and effective communication abilities. Proficiency in Microsoft Office applications including Word, Excel, and Outlook for administrative tasks. Ability to handle sensitive health information in accordance with HIPAA regulations while maintaining clinical confidentiality policies. Prior surgical scheduling experience is essential bilingual skills are a plus to serve diverse patient populations. Strong computer skills combined with clerical experience such as filing, typing (including 10 key typing), and office management tasks.
